Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster a productive, welcoming environment. Duties

Manage administrative responsibilities, including assisting owners with follow up phone calls, new leads and entering client info into our database.
Perform data entry tasks accurately using Microsoft Office, PDF Viewer, Website Editing and online socials
Handle clerical duties such as online inventory or schedule request, proofreading documents, and maintaining organized records
Provide excellent customer service by responding promptly to inquiries via phone or email and supporting clients and/or staff as needed
Assist with appointment scheduling, calendar management, and coordinating meetings or events
Support office operations by performing basic bookkeeping tasks
Maintain confidentiality of sensitive information while ensuring all administrative processes run efficiently
A strong presence on our social media platforms with video creations, photo editing and content creations.

Requirements

Proven experience in an administrative or clerical role with strong organizational skills
Precious experience with a corporate cleaning company and asset but not preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks for financial tasks
Excellent computer skills with the ability to learn new software quickly
Prior experience in customer service or front desk roles with strong phone etiquette and communication skills
Ability to perform data entry accurately while managing multiple priorities simultaneously
Experience with scheduling software and appa
Strong typing speed with attention to detail for proofreading documents and data accuracy
Demonstrated organizational skills with the ability to manage online filing systems effectively
Willing to travel throughout Norfolk to assist with on site duties
