Rogue Bookkeeping is hiring an alarmingly organized Executive/Administrative Assistant to keep the gears of our small, fully-remote team turning. This is the person who makes sure things do not fall through the cracks, and who quietly gets a small thrill when they do not.
Quick note before you read on: this is an admin and operations role, not a bookkeeping role. You do not need a finance background. Some of the tasks live inside accounting software, but we will teach you every button you need to push. What we cannot teach is follow-through, judgment, and the kind of care that treats other people's deadlines like your own. And while we are a remote firm, this role will be hybrid with the in-person portion being in Chilliwack.
About Rogue Bookkeeping
We are a team who take genuine pride in our work and our relationships with our clients. We believe strongly in clear communication, achieved in part through the proper application of gifs (internally). We are serious about the work and not particularly serious about ourselves.
We are a fully-remote team and a high level of day-to-day communication is part of the job, not a bug. If you have a question, are unsure of something, or just want to double check, we welcome that. We use Financial Cents to project-manage our work and deadlines, and you will be expected to learn it, use it, and (we hope) love it. Frequent updates are non-negotiable.

What You'll Actually Do
This role keeps our internal operations, communications, and admin running.
Weekly:
- Run RBK's own accounts receivable: send and follow up on our invoices so the firm actually gets paid on time
Monthly:
- Tasks within Quickbooks Online
- Write and send our internal team newsletter
- Use/update Telpay
- Organize our Loom video library and add the links into Notion and Financial Cents resources so people can actually find them
Quarterly:
- Produce and send our external client newsletter (content writing, topic generation, etc)
As needed:
- Handle new client onboarding admin: set up files, folders, and records so bookkeepers can hit the ground running
- Make website updates, including refreshing employee bios (Wordpress and Elementor)
Working Closely With Our CEO
Here is the honest heart of this role. You will work most closely with our CEO, and the right person makes her measurably more effective and helps protect her focus. This is the part we need the most, so read it carefully:
- Proactive by default. You anticipate what is needed and move on it before being asked. The best version of this role can feel a little like mind-reading. We know that takes time to build, and we will meet you there, but the instinct to look ahead has to already be in you.
- Strong judgment on effort versus payoff. You can tell when something deserves fifteen minutes and when it deserves two hours, and you do not gold-plate things that do not need it. You protect the return on our time as if it were your own.
- Comfortable wearing many hats and making on-the-fly calls. Small business means the ground shifts and there is not a rulebook for every situation. We need someone with the judgment to make a sensible call in the moment and the confidence to own it.
- You close your own loops. When a task needs more information from us to finish, you work out exactly what you are missing and come ask for it. You do not stall silently, and you do not guess and hope. Identifying the gap is your job, not ours.
- You communicate clearly and on time. You keep us in the loop, reply promptly, and never leave us wondering where something stands.
- You help us not drop any balls. You keep track of tasks, projects, and commitments, and you remind us of what is coming due before it becomes a problem. You are the safety net that catches the things that would otherwise slip.
Where this could grow
We also run an operations division that takes on projects for operations clients. If you bring skills beyond admin (think project coordination, process design, systems and workflow building, or similar), there is real room to put them to work on client projects. Tell us what you have got!
You'll Know This Role Is Right for You If
- You are organized to a degree that mildly alarms people who do not live this way, and you optimize tasks for efficiency and precision on instinct
- You feel a special kinship to border collies herding sheep (or perhaps cats disguised as sheep)
- You read a situation quickly and act on it, rather than waiting to be handed every step
- You follow instructions precisely and cannot help proposing the logical next step or a smarter way to do it
- You are the friend in the group who remembers the reservation, the birthday, and the thing everyone else forgot
- You like focused solo work but you do not disappear into it: you check in, ask questions, and flag things early
- You are comfortable learning new software and are not thrown by living inside a handful of tools at once
- You can hold the tightrope between professionalism and friendly candor without falling off either side
Required
- Proven administrative, executive assistant, or operations-coordination experience
- Confident with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
- Strong written communication: our newsletters and client-facing updates need to read well
- Located in the lower mainland, with a reliable home office setup
Bonus Skills:
You do not need these on day one. We will train. Missing a few is completely fine.
- Tools you'll be in regularly: Notion, Financial Cents (our practice management software), QuickBooks Online, Telpay
- Also in the mix: Quo, Telpay, Mailerlite, and Claude (yes, we use AI here and we are happy to teach you how we do it well)
- Experience with AI - we’re a human-first firm but we do use AI as a tool and automate where possible/reasonable.
- If you understand bookkeeping but do not want to be a bookkeeper
- Marketing – funnel creation, email sequences, etc.
What we cannot train is judgment and care. Those you bring with you.
Your Home Office
You'll need a quiet, uninterrupted workspace, high-speed internet, a reliable computer, and multiple monitors. A desk and chair help.
Compensation and Benefits
This is a regularly scheduled part-time position (roughly 20 hours per week, estimated 4 hours per day). That said, if this job sounds like a dream to you but you’re looking for full time work, please still apply.
