As our organization continues to grow, we are seeking an ambitious and highly organized Executive Coordinator to work directly alongside the CEO and support a wide range of business, operational, and executive priorities.
This is not a traditional administrative role. It is an opportunity to gain hands-on exposure to business operations, sales, finance, technology, marketing, customer experience, and strategic decision-making while working directly with executive leadership.
Position Overview
The Executive Coordinator, CEO Office serves as a trusted extension of the CEO, helping ensure priorities are executed efficiently across the organization. The successful candidate will assist with executive support, special projects, dealership oversight, operational follow-up, and personal logistics.
No two days are the same. One day may involve coordinating travel, preparing reports, and following up with department leaders. The next may involve researching new opportunities, auditing dealership processes, assisting with technology implementation, or supporting an important business initiative.
Key Responsibilities
Executive Support
- Manage calendars, scheduling, and meeting coordination
- Assist with travel planning and executive logistics
- Prepare reports, presentations, and summaries
- Organize and track executive priorities and action items
- Draft correspondence and professional communications
- Coordinate meetings and ensure follow-up on key initiatives
Business Operations
- Monitor dealership activities and operational performance
- Review CRM activity and sales process compliance
- Assist with reporting and KPI tracking
- Follow up with departments on projects and deadlines
- Identify operational bottlenecks and opportunities for improvement
- Support implementation of new systems, technologies, and processes
Special Projects
- Conduct research and gather information for business initiatives
- Assist with marketing, events, partnerships, and growth opportunities
- Support new business launches and expansion projects
- Coordinate vendors, contractors, and external partners
- Complete special assignments directly from the CEO
Personal Support
- Coordinate appointments and personal scheduling
- Manage travel, reservations, and logistics
- Assist with vehicle service appointments and maintenance scheduling
- Coordinate personal projects and errands when required
- Support confidential matters with professionalism and discretion

Qualifications
- Post-secondary education in Business, Administration, Marketing, Finance, Operations, Communications, or a related field is considered an asset
- Recent graduates are encouraged to apply
- Previous administrative, customer service, coordination, or project support experience is an asset
- Proficiency with Microsoft Office, Google Workspace, and business software platforms
- Valid driver's licence required
