The Department of Public Works supports Nova Scotia’s 23,000 kilometers of roads and highways, 4,100 bridges, and 7 provincial ferries. Our Highway Programs division supports the maintenance of our provincial road network, including summer work, RIM program, and Snow and Ice Control operations.
Our office has an opportunity available for a Clerk. As the Clerk, you are the backbone to our operations. This is your opportunity to join an engaged team who operate in a challenging and fast-paced environment, where there is never a dull moment.
Under the general supervision of the Financial Services Officer, the Clerk 3 is responsible for a variety of accounting, bookkeeping and general offices duties involving preparation, completion and checking of various accounting documents and reports required for the Area Office.
We count on your expertise and excellent customer service to provide various administrative support, including, but not limited to:
- Processing vendor invoices, credit memos, journal vouchers and inventory issues, acquiring proper supporting documentation, verifying calculations and ensuring proper authorization signatures prior to keying for payment.
- Calculating and recording labour and equipment time in accounting software and ensuring accuracy of this information.
- Maintaining accurate accounts payable filing system, scanning and uploading copies of all entries to electronic filing system and reviewing accounts payable audit report to ensure accurate entry.
- Providing receptionist duties and administrative assistance to Managerial staff, distributing incoming and outgoing mail, answering general inquiries from the public, in person and by telephone, and providing information pertaining to Department policies and procedures.
- Directing callers and visitors to the appropriate individuals and/or government departments, assisting customers with various permits, and receiving cash and cheques from clients for receipt of goods and services.
- Maintaining Joint Occupational Health and Safety Committee files and related documentation as required and preparing meeting agendas and minutes for distribution.
- Recording public complaints, including those received from County MLAs, and ensuring accurate and complete information is directed to appropriate personnel for resolution.
- Sending/receiving correspondence through the Mail Tracking System (MTS), preparing files for storage at year end, and ensuring proper coding for STAR/STOR filing system.
You will have at least four (4) years of experience in a computerized accounting environment or in an administrative support/ reception role.
You are a self-motivated individual who works both independently with minimal supervision and participates fully as an effective team player. You are accurate in your work and have well-developed time management and organizational skills to meet established deadlines and priorities.
You consistently maintain confidentiality in all you do. You possess problem solving abilities, and analyze and present information in a clear, concise manner. Your exceptional interpersonal and communication skills will assist you when liaising with staff and responding to staff and vendor inquiries, both verbally and in writing.
You consistently maintain a professional and courteous disposition, and hold a high standard for client and customer service.
As the ideal candidate, you must demonstrate a working knowledge of spreadsheet software, word processing and email applications.
While not required, completion of a course or training program in business administration, office administration, accounting, customer service, or a related field will be considered an asset.

Most of your time is spent in a comfortable office setting. Occasionally you may need to move or lift objects such as boxes or files. You will have daily contact with the public, various Government Departments as well as other local Agencies.
Your normal work week is 35 hours/week, 7 hours/day.

Pay Grade: CL 18
Salary Range: $1,848.39 - $2,068.11 Bi-Weekly
