Job Summary

We are seeking a detail-oriented and organized Entry-Level Executive Coordinator & Construction Office Assistant for a part-time position. This role provides vital administrative support within a construction or professional office environment, assisting with daily operations, client communication, and project coordination. The ideal candidate will possess strong clerical skills, proficiency in office software, and excellent customer service abilities to ensure smooth workflow and effective communication across teams and clients.

Duties

Manage scheduling and calendar coordination using Microsoft Outlook Calendar and Google Workspace tools
Handle phone calls with professional phone etiquette, including multi-line phone systems and front desk responsibilities
Perform data entry, filing, and document proofreading to maintain accurate records
Assist with bookkeeping tasks utilizing QuickBooks and other office software
Prepare and process documents through DocuSign and other digital platforms
Support administrative tasks such as organizing files, managing correspondence, and maintaining office supplies
Provide exceptional customer service by responding to inquiries promptly and professionally
Assist with project documentation, tracking deadlines, and coordinating meetings or appointments
Support construction project documentation and communication as needed

Qualifications

Proven clerical or administrative experience in an office setting
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks for basic bookkeeping tasks
Strong organizational skills with the ability to multitask effectively
Excellent typing speed and data entry skills for efficient record management
Experience with phone systems, front desk duties, and customer service best practices
Attention to detail for proofreading, filing, and document management
Ability to work independently with minimal supervision in a fast-paced environment
Prior office experience or construction office familiarity is a plus but not required
