Position: Receptionist - On Call Reporting Structure: Director, Finance & Admin Contract type: Variable Hours Per Week Start Date: ASAP

Rate: $24.72 Per Hour

Position Summary:

The On-Call Receptionist provides front-desk support as needed to ensure smooth daily operations. This role serves as the first point of contact for visitors, clients, and callers, delivering excellent customer service while performing general administrative duties. The on-call receptionist fills in during staff absences, peak business periods, or special events, and must be flexible, reliable, and able to adapt quickly to different work environments. Key responsibilities include answering phones, greeting guests, managing appointments or visitor logs, and assisting with office tasks such as filing, data entry, and correspondence.

Primary Duties:

To be the welcoming face of our agency
Greet visitors and clients coming into the office and direct them to the appropriate contacts or services
Answer telephone calls and refer appropriately, also provide information as required
Management of an 8-line, 24 extension telephone system
Maintain staff schedules and ensure proper staff sign-in/sign-out procedures are followed
Maintain phone and office lists
Be aware of safety issues of staff and clients
Maintain logbook for courier and other pick-up envelopes
Book rooms for programs
Other clerical duties as assigned

Skills and Qualifications:

Minimum of 3-5 years administrative/reception/accounting experience preferred
Intermediate knowledge of MS Office products (Word, Excel, PowerPoint, Outlook)
Excellent communication skills, both verbal and written
Good organizational skills and adaptable to change
Sensitive to multicultural client needs/issues
Willingness to work as a team member
Professionalism, customer focused, and ability to multi-task
Fluency in French is an asset
