Position: Sales & Marketing Coordinator

Looking for an opportunity to join a fast-paced and collaborative team where your organizational and coordination skills will make an immediate impact? This role offers the chance to support both sales and marketing teams within a large global organization while working closely with multiple departments across the business.

As the Sales & Marketing Coordinator, you’ll play a key role in supporting daily sales and marketing operations through event coordination, administrative support, contract processing, invoice management, and cross-functional communication. A key focus of the role will be coordinating healthcare professional (HCP) events and activities, ensuring approvals, documentation, and processes are completed accurately and compliantly. What you’ll be doing:

Provide administrative and coordination support to the sales, marketing, and leadership teams
Coordinate healthcare professional (HCP) events and related activities, ensuring all approvals, documentation, and compliance requirements are completed accurately and on time
Manage event approval workflows and maintain records within internal systems and platforms
Coordinate purchase order approvals, invoices, and cheque requisitions
Support contract processing and related documentation
Liaise with sales, marketing, finance, compliance, and external vendors to support event and program execution
Arrange travel, accommodations, and meeting logistics for internal and external events
Create and maintain internal forms, reports, presentation materials, and tracking documents
Coordinate ordering of materials and process invoices for payment
Assist with logistics coordination and operational support activities
Manage sample coordination for conferences, field teams, and marketing initiatives through third-party vendors
Maintain and compile competitive product and market information
Communicate with internal departments and external suppliers to support daily operations
Assist with project coordination and administrative reporting as required

What we’re looking for:

2 or more years of experience in a sales coordination, marketing coordination, administrative, event coordination, or project support role
Experience supporting multiple departments in a fast-paced corporate environment (medical, pharmaceutical, or healthcare-related experience is an asset)
Experience coordinating events, meetings, conferences, or promotional activities is considered a strong asset
Strong organizational and time management skills with the ability to manage competing priorities
Experience working with purchase orders, invoices, contracts, or financial coordination processes
Comfortable working with databases, approval systems, reporting tools, and technology platforms
Excellent communication skills in both English and French
Strong attention to detail and ability to work independently while following established processes and compliance requirements
Proficiency with Microsoft Office including Excel, Word, and PowerPoint
Experience working with databases, reporting systems, or inventory tracking tools is considered an asset
Strong problem-solving abilities and proactive approach to daily tasks
