Job Summary
We are seeking a proactive and detail-oriented Event Operations Assistant to support the planning, coordination, and execution of various events. The upcoming event we have in mind is the Annual Charity Golf Tournament. This role involves working closely with event teams to ensure seamless operations, exceptional guest experiences, and efficient management of event logistics. The ideal candidate will possess strong organizational and communication skills, with a background in hospitality or restaurant experience being a plus. This position offers an exciting opportunity to develop skills in event management, customer service, and operations within a dynamic environment.

Responsibilities

Assist in the planning and setup of events, including venue preparation and equipment arrangements
Coordinate with vendors, clients, and team members to ensure all event requirements are met
Support guest services by addressing attendee inquiries and providing excellent hospitality
Manage event timelines to ensure all activities proceed smoothly and on schedule
Upsell additional services or products to enhance guest experience and meet event goals
Negotiate with vendors and suppliers to secure the best options within budget constraints
Oversee on-site operations during events, ensuring safety standards and quality control are maintained
Assist with budgeting tasks, tracking expenses, and maintaining financial records for events
Maintain organized documentation related to event logistics, contracts, and schedules
Communicate effectively with team members to coordinate tasks and resolve issues promptly

Skills

Strong communication and interpersonal skills for guest interaction and team collaboration
Excellent organizational skills to manage multiple tasks simultaneously
Time management abilities to meet deadlines in a fast-paced environment
Experience in marketing or upselling techniques to promote event services effectively
Negotiation skills for vendor relations and service agreements
Customer service focus with a professional attitude toward guests and clients
Hospitality or restaurant experience is preferred, along with hotel industry background
Ability to work under pressure while maintaining attention to detail
Proficiency in organizational tools such as calendars, spreadsheets, or event management software

This role is ideal for individuals passionate about creating memorable events while delivering outstanding guest experiences. The Event Operations Assistant will be an integral part of our team dedicated to excellence in event execution.
