Full job description

Job Summary
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience with medical or dental offices is a plus, but not required. The Receptionist will play a key role in maintaining smooth office operations and ensuring a welcoming atmosphere for clients and staff alike.

Duties

Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems, directing calls appropriately and taking messages as needed
Schedule appointments and coordinate calendars using Microsoft Office and Google Workspace tools
Perform data entry and maintain accurate records, including filing and organizing documents
Assist with administrative tasks such as photocopying, proofreading, and document preparation
Handle correspondence via email and phone, demonstrating professional phone etiquette and customer support skills
Support bookkeeping activities using QuickBooks or similar accounting software when necessary
Maintain the front desk area, ensuring it remains tidy and welcoming
Support office staff with clerical duties including filing, typing, and organizing paperwork
Provide exceptional customer service to clients, patients, or visitors in person or over the phone

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills with experience in data entry, filing, and document management
Excellent organizational skills with the ability to multitask effectively in a busy environment
Previous clerical or administrative experience preferred; medical or dental office experience is a plus
Knowledge of multi-line phone systems and phone etiquette
Ability to handle customer service interactions professionally and courteously
Attention to detail for proofreading documents and managing records accurately
Experience with bookkeeping software such as QuickBooks is advantageous
Strong typing skills with a focus on accuracy and speed
Ability to adapt quickly to new software or procedures as needed
