POSITION SUMMARY:
Under the direction of the Supervisor, School Systems,
the Application Support Analyst provides
strategic business analysis, system leadership, and
advanced reporting for the Board’s Student Information Systems (SIS)
and related enterprise applications.
This
role is accountable for analyzing business processes, data, the flow of
data, and system performance to identify risks, gaps, and
opportunities for optimization. The Analyst partners with
schools and departments and other leadership at the school
board to translate educational, legislative and operational requirements
into the SIS and other solutions that support funding accuracy,
compliance, and student success.
The position is responsible
for the analysis, implementation, training and technical, and
administrative support of the Board's School Systems. The Board’s School
Systems include a variety of Central Systems including but not limited to; the
Student Information System, the Special Education System, Safe Schools
system, School Messenger, Instructional Staff On-Call system, School
and Board websites, Online Student Registration system and the Board’s Data
Warehouse. The Application Support Analyst acts as the primary liaison between
all levels of school staff. The Application Support Analyst develops,
implements, reviews, and provides end-user training on procedures and
standards, to ensure that timelines for data submissions are met.
The position serves as a subject matter expert
and trusted advisor for SIS data integrity, reporting, and system design,
ensuring that information is reliable, actionable, and aligned with Board and
Ministry objectives as well as versed in data
privacy, MFIPPA and governance
RESPONSIBILITIES (but not limited to):

Identifies the functional capabilities of the
Board’s School Systems required for each of the following employee
categories: Teachers, Secretaries, School Administrators, Program and Special
Education Staff, and Superintendents.

Develops and maintains, on an on-going basis,
manuals, interpretation documentation, handbooks, other handouts outlining new
features of the Board’s School Systems, and any new MOE (Ministry of Education)
requirements.

Provides explicit documentation and instruction that
is distinct to specific employee groups (for example, OECTA and CUPE 2026).

Develops, conducts, and revises training sessions for
all school & board staff on the use of the Board’s School Systems, to build
school student and teacher schedules that comply with the MOE
(Ministry of Education) legislation and relevant Collective Agreements.
- Analyses the security requirements associated with the
information available in the Board’s School Systems, to achieve a balance
between the needs of the users and the various levels of privacy legislation.

Creates specific security roles within the software so
users see and/or maintain only the data appropriate to their position.

Receives and responds to access requests from school
personnel and verifies eligibility with the appropriate
Manager/Supervisor/Principal, as required.
- Manages the user accounts associated with the Board’s
School Systems and MOE (Ministry of Education) applications.

Maintains an understanding of the various
data structures within the Board.

Maintains skills
and proficiency with multiple end-user reporting
tools to draw information from disparate data sources.

Creates and analyzes reports, on an ongoing basis, to ensure data
integrity in new and existing applications.

Translates functional business requirements into
technical report designs, ensuring that data outputs directly address the
practical needs of corporate and instructional services, schools and
Ministry of Education.
- Use advanced Excel
functions to develop visuals, pivot charts and lookup techniques to
reconcile cross-system data and resolve integrity gaps.

Ensure information pulled from disparate sources such
as the Student Information Systems is logically aligned, mapped and consistent
to ensure data integrity in new and existing applications.
- Performs and documents process and workflow analysis,
in order to define user requirements and system specifications for development
of in-house applications.

Plans and implements new Board-wide systems that
impact thousands of users with minimum disruption.

Performs gap analysis and the redefinition of process
based on new functional requirements of new Board Systems.

Manages the implementation of new systems. This
involves the conversion of a substantial amount of data from a variety of
disparate systems. Creative and innovative strategies must be developed to
retain the maximum amount of existing data to minimize the time and expense of
manual data entry.

Develops individual school implementation plans and
specific solutions for data conversions for schools, the Board and Ministry
requirements.

Monitors any changes in Ministry of Education
regulations in the areas of diploma requirements (past and present), enrolment,
student credits, suspensions/expulsions, OnSIS, and Provincial report card
requirements.

Informs schools of the above regulations and develops
methods to assist them with compliancy.

Develops strategies to expand the use of the existing
application to meet the Board's needs regarding funding, staffing, and student
success in programs outside of the regular school day. This includes Adult Education, Continuing
Education, Section 23 Schools, and Alternative Education.
- Develops and implements procedures and standards, to
ensure critical timelines for data submissions are met. These have a
significant impact on funding and staffing.

Conducts informal training on ad-hoc inquiries, to
ensure timely and productive use of the Board’s School Systems.

Maintains daily contact with Principals, Vice
Principals, Teachers, Clerical staff in schools, as well as staff in other
Departments, to resolve problems and provide training and guidance.

Log, track and resolve support issues related to the
Board’s School Systems within the Boards’ ticketing system ensuring detailed
documentation of issues and resolutions.

Provide on-going communication support to school and
board staff on the status of the tickets where the response and/or resolution
are not within the Board’s established resolution timelines.

Performs in-depth analysis to troubleshoot software
issues and administrative problems.

Serves as a liaison between school administration and
the Ministry of Education.

Works with school staff, to ensure that the schools
comply with Ministry of Education legislation in the areas of retention and
retrieval of information.

Provides support for both the OnSIS team and schools,
to ensure that accurate data is submitted to the Ministry of Education.

Instructs users to perform time sensitive tasks to
meet Board, Ministry of Education, and other deadlines.

Composes and distributes monthly calendars and
checklists for SIS timelines, Interim and Final Report Cards, and Start-up and
Year-End Checklists.

Develops procedures and standards to introduce
concepts that will improve productivity, efficiency, and cost effectiveness.

Provides data electronically to College and University
application and Ministry of Education provincial testing systems (EQAO).

Verifies educator data in the Board's Human Resources
System and revises this data in the School Information System to maintain
consistency.
EDUCATION/QUALIFICATIONS:
- Post‑secondary education in Information Systems, Computer Science, or a
related field.

Min 3 years of progressive experience and responsibility in Student
Information Systems (SIS) administration, business systems analysis, and/or
enterprise application support.

Recent hands-on experience (within the last 2 years) in project
management including process development and execution as an asset
SKILLS/ADDITIONAL EXPERIENCE:
-
Experience analysing system
functionality, business workflows, and data flows in a regulated environment
-
Expertise in developing technical and end user
documentation for system enhancements and initiatives delivered
through the full Software Development Life Cycle (SDLC.)

Experience working in a K-12
educational or related environment, supporting staff is an asset
-
Strong understanding of Ministry
of Education legislation, reporting, funding, and compliance
requirements and related business practices is
an asset.

Proven experience in navigating
and mapping multiple data sources (e.g., Student Information Systems)
to design, build, and manage functional reports that ensure logical data
alignment and meet the specific operational needs of the Board and Ministry.

Proven ability to
assess SIS system impacts and risk,
and/or provide advisory support or
recommendations on business related changes or questions
brought forth by stakeholders on school data or processes in the SIS

troubleshooting skills

written communication and customer service skills, with the ability to explain complex system and regulatory concepts
to non‑technical stakeholders.

initiatives and successfully complete projects urgent deadlines.

Proven ability to work effectively both independently

Strong proficiency in
standard office productivity tools (e.g., Microsoft Office Suite including
Project and Visio).
