Job Overview

Dhill Immigration Consultancy is seeking a highly organized and detail-oriented Administrative Assistant to support our immigration consulting operations. The ideal candidate will play a crucial role in ensuring the smooth daily functioning of our office, assisting with client communications, document preparation, and administrative tasks. This is an excellent opportunity for someone who is passionate about customer service and has an interest in immigration services.

English language - Strong communication skills - CLB 9 mandatory

Responsibilities

Provide administrative support to immigration consultants and staff.
Handle incoming calls, emails, and inquiries from clients and stakeholders.
Schedule client appointments and maintain an organized calendar.
Prepare, proofread, and organize immigration applications and supporting documents.
Maintain accurate client records and update case files in the database.
Assist in drafting correspondence, contracts, and other legal documents.
Ensure confidentiality and compliance with immigration regulations and company policies.
Process payments, issue invoices, and maintain financial records as needed.
Manage office supplies and coordinate with vendors when required.
Perform general office duties, including filing, photocopying, scanning, and data entry.

Requirements

Education: Minimum Bachelors, degree in business, law or administration will be an asset.
Experience: No experience requirement, we will train. Strong academic background is advantage, need to submit high school and college grade/transcripts.
International students can apply - need to submit their IELTS transcript
Skills:
Strong organisational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management.
Attention to detail and ability to work with confidential documents.
Customer service-oriented with a professional demeanor.
Ability to work independently and as part of a team in a fast-paced environment.
Language: Fluency in English is required; additional languages (such as French, Punjabi, Hindi, or Spanish) are an asset.
