Full job description

As a Scheduler, you will work as part of a collaborative Service Delivery team consisting of Schedulers, Coordinators, and Managers supporting community-based services for children, youth, and adults with complex needs.

The Scheduling team supports a highly responsive service environment where priorities and scheduling needs can change throughout the day. Schedulers are responsible for managing multiple tasks simultaneously, responding to urgent service requests, coordinating last-minute service coverage, and maintaining clear communication with associates, families, clinicians, and community partners.

This role involves a high volume of inbound and outbound communication by phone, email, and internal systems. Strong follow-through, attention to detail, organization, and the ability to effectively manage competing priorities are essential.

The role requires professionalism, adaptability, and the ability to navigate sensitive or urgent situations while maintaining a calm, solution-focused approach. The scheduling department operates within a collaborative open-concept office where team members work closely together to coordinate services in real time.

Services support children, youth, and adults with complex behavioural, developmental, and mental health needs, requiring thoughtful scheduling decisions, strong communication, and professional judgement.

This role is an integral part of daily operations and is best suited for individuals who thrive in highly responsive service environments, are adaptable to changing priorities, and can effectively manage multiple competing demands throughout the day.

Primary Duties and Responsibilities:

Coordinate and schedule client service requests utilizing scheduling software while matching unique client needs to associate skills and profiles
Maintain ongoing communication with associates, families, clinicians, and community agencies regarding scheduling and service coordination
Respond to schedule changes and service requests in a timely and professional manner
Maintain accurate documentation and follow-through on assigned tasks
Work collaboratively with the wider Service Delivery team to support continuity of services
Perform other duties as required

Schedule & Work Environment

The Scheduling team works predominantly on-site within a collaborative open-concept office environment, with situational and occasional remote work opportunities.

This is a full-time position with a rotating schedule that includes:

Weekdays (9:00am–5:00pm, 11:00am–7:00pm)
Evenings (3:00pm–11:00pm)
Saturdays and Sundays (9:00am–5:00pm)

The schedule may also include periodic on-call assignments during weekday and weekend evenings and/or overnight periods.

The scheduling team works predominantly on-site with situational and occasional remote work. It is a full-time position with a rotating schedule to include weekdays (9-5, 11-7) evenings (3-11), and Saturday & Sundays (9-5). In addition, the schedule also may include on-call assignment during weekday & weekend evenings and / or overnights.

Required Education, Skills and Qualifications

Completion of a Community College diploma or University degree in a relevant field is considered an asset
Excellent verbal and written communication skills
Strong customer service and conflict-resolution abilities
Ability to manage large volumes of communication in a timely and professional manner
Excellent organizational and time management skills
Strong keyboarding and computer skills, including proficiency in word processing and spreadsheet software (minimum 50 WPM)
Ability to adapt to changing priorities in a responsive service environment
Knowledge and/or experience supporting children, youth, and adults with developmental, behavioural, or mental health needs is considered an asset, but not required
Ability to work independently and collaboratively as part of a wider interdisciplinary team

Training & Support

Comprehensive onboarding and role-specific training is provided to support team members in developing the operational knowledge, communication skills, and service coordination practices required for success in the role.
