We are seeking a creative, organized, and collaborative professional to join the Brantford Public Library as our Marketing and Administration Assistant. This position plays an important role in promoting library services, programs, and events while providing administrative support that helps ensure the efficient operation of the organization.
The Marketing and Administration Assistant is responsible for creating engaging content across a variety of print and digital platforms, including the Library's website, social media channels, newsletters, and promotional materials. This role also supports administrative functions, including recruitment activities, volunteer administration, and general office support, while helping to strengthen the Library's brand and community presence.
The ideal candidate is an excellent communicator with strong writing and editing skills, a creative eye for design, and experience managing digital communications. They are comfortable working with a variety of technologies and design software, enjoy building relationships with customers and community partners, and are able to balance multiple priorities in a fast-paced environment. Experience creating accessible, branded marketing materials and managing social media for an organization is essential.
Brantford Public Library serves a population of over 100,000 residents in a community that is rich in natural and cultural heritage and is ideally situated within convenient driving distance of several major Ontario cities. Reporting to the Manager of Communications and Community Engagement the successful candidate will work collaboratively across departments to support the Library's strategic initiatives through innovative marketing, effective communications, and responsive administrative services. Salary Range: $34.60 - $40.71 per hour
Classification: Part-Time, Permanent
Hours of Work: Monday to Friday, 24 hours per week
Key Responsibilities:
· Assists with the implementation of marketing plans and materials to accomplish set objectives in the Brantford Public Library strategic plan.
· Assists with the coordination, development, production, and placement of accurate internal and external marketing materials, including newsletters, print materials, photography, and video.
· Assists with administrative recruitment tasks, ensuring privacy and confidentiality is maintained. Tasks include editing postings, contacting candidates, scheduling interviews, preparing interview packages, and conducting reference checks.
· Provides back-up support for a variety of administrative tasks, including supply pick-up and delivery, and receiving and routing calls and correspondence.
· Assists with building relationships through strategic marketing and communication initiatives to enhance the library’s brand and build awareness of Brantford Public Library and its services.
· Creates, schedules, and manages social media content, maintaining consistent branding, messaging, and tone across platforms.
· Maintains file management system for marketing and communications documents.
· Provides administrative support for the library volunteer program.
· Coordinates the sharing of community information, including the posting of items on digital, internal and external community boards and display areas.
· Updates and maintains Library website content, ensuring accuracy, accessibility (AODA), and consistency. Ensures that work adheres to library policies and procedures, brand and tone guidelines, and relevant provincial and federal legislation, including Canada’s Anti-Spam Legislation and the Accessibility for Ontarians with Disability Act.
· Assists with identifying new and creative opportunities for marketing and promoting the programs and resources available at the Library.
· Maintains up-to-date knowledge of social media platforms, marketing techniques, and trends.
· Participates in ongoing reviews of marketing efforts and identifies gaps in marketing materials/strategies
· Assists in coordination and delivery of special events and library functions.
· Works cooperatively with Library cross-functional teams.
· Approaches customers to discover and capture information, images, and stories of Library use for the purpose of promoting Library services and resources.
· Represents the Library at community events and deliver presentations as required.
· Maintains positive relationships with outside vendors and suppliers.
Qualifications
· Two-year college diploma in marketing, communications or related field.
· Minimum of two years’ relevant experience.
· Demonstrated proficiency with design and desktop publishing software such as Canva, Adobe InDesign, Illustrator, and Photoshop.
· Proficiency with Microsoft Office Suite.
· Experience planning, creating, and managing social media content for an organization or business.
· Strong copywriting, proofreading, and editing skills.
· Experience with website content management systems, Google Ads and Google Analytics are assets.
· Experience in creating branded, accurate content for multiple print and digital platforms (newsletters, social media, website, print and digital advertisements).
· Demonstrated familiarity with graphic design best practices and AODA accessibility requirements.
· Demonstrated familiarity with digital SLR photography and photo composition.
· Exceptional interpersonal skills with the ability to quickly connect with customers in an engaging manner.
· Demonstrated ability with technology.
A satisfactory vulnerable sector police check is required as a condition of employment.
Testing may be part of the interview process.
