Full job description

Restoration & Claims Coordinator (Administrative support)

The Insurance/Restoration Coordinator is an important role that supports the successful delivery of insurance restoration projects. Working alongside a Restoration Project Manager, this position is responsible for keeping projects organized, well-documented, and running smoothly from start to finish. Restoration industry experience and insurance claims experience are preferred but not mandatory.

This is an ideal opportunity for someone with strong administrative experience who enjoys detailed work, coordinating multiple files, and providing excellent customer service. This is not a project management role, but rather a key support position that ensures accuracy, communication, and efficiency across multiple restoration projects.

About Us

ServiceMaster Restore of Vancouver is a full-service disaster restoration company providing emergency response, construction, contents cleaning, mould remediation, and biohazard services. We work closely with insurance professionals and property managers to restore both residential and commercial properties after loss events.

Hours: Monday through Friday, 8am-5pm (on-site)

What You’ll Do

Project & Claims Coordination

Provide administrative support to the Restoration Project Manager throughout the full lifecycle of restoration projects
Assist with insurance claim file management and ensure documentation meets insurer requirements
Review estimates, scopes, and job costing for accuracy and alignment with insurance guidelines
Support project close-out processes, ensuring files are complete and audit-ready

Documentation & Systems

Maintain organized and detailed project files, including scopes, estimates, work orders, and correspondence
Enter and manage data in systems such as Restore365, Encircle, NAV, or similar platforms
Ensure all documentation is complete and accessible for internal and external review

Communication & Customer Service

Act as a key point of contact between internal teams, homeowners, adjusters, insurers, and subcontractors
Respond to inquiries promptly and professionally to support a positive client and claims experience
Assist with incoming calls and direct inquiries appropriately

Invoicing & Project Close-Out

Support invoicing by compiling job costs and preparing final documentation for submission
Assist with insurer billing, approvals, and claim settlements

What We’re Looking For

Experience in restoration, insurance claims, or construction administration strongly preferred
High school diploma required
Proficiency in MS Office (Outlook, Word, Excel)
Experience with estimating or claims management software is an asset

Skills & Attributes

2-3 years administrative support experience
Strong communication skills with the ability to interact professionally with clients and insurance partners
Excellent attention to detail and accuracy in documentation
Ability to manage multiple projects and deadlines in a fast-paced environment
Highly organized with strong time management skills
Self-motivated with the ability to work independently and as part of a team
Discretion and professionalism when handling sensitive information
