Position Summary
The Estimating Coordinator supports the estimating team in the preparation, organization, and administration of bid submissions for trenchless and civil infrastructure projects. This role is responsible for coordinating tender documents, tracking subcontractor and supplier quotations, and maintaining bid schedules.
This position is well suited for someone who is highly organized, detail-oriented, and comfortable working in a fast-paced environment with multiple deadlines. A background in civil construction or estimating is preferred but not required. The ideal candidate should be open to asking questions, willing to seek clarification when needed, and able to take ownership of assigned tasks from start to finish. This role requires someone who is proactive, accountable, and able to follow through with minimal supervision. The goal of this role is to improve estimating workflow, strengthen bid organization, support accurate and timely submissions, and allow the estimating team to focus on scope review, strategy, risk, and final pricing.
Key Responsibilities
· Maintain tender logs, bid calendars, submission deadlines, and internal bid trackers.
· Review incoming addenda and distribute relevant information to the estimating team, suppliers, and subcontractors.
· Solicit quotations from subcontractors, suppliers, trucking companies, equipment vendors, and material providers, and follow up to ensure pricing is received before closing.
· Support the preparation of proposal documents, clarifications, exclusions, and bid submission packages.
· Coordinate prequalification documents, insurance letters, bonding requests, and other submission requirements when needed.
· Maintain vendor and subcontractor contact lists, historical pricing records, and bid filing systems.
· Communicate with internal teams to gather scope information, pricing details, and project-specific requirements.
· Ensure bid files are complete, organized, and properly archived for future use.
· Assist with post-bid follow-up and handoff documentation for successful projects.

· Creating and managing various reports (ie equipment rental reports, fuel consumption, cell phone and Geotab, repairs/maintenance spends).
· Assist with office ordering of and event planning.
Qualifications
· Previous experience in estimating coordination, project coordination, administrative support, or construction office support is preferred.
· Experience in construction, civil, underground, or trenchless work is considered an asset, but is not mandatory.
· Diploma or degree in Civil Engineering, Construction Management, Business Administration, Office Administration, or a related field is an asset, but not required.
· Strong organizational and time management skills with the ability to manage multiple deadlines.
· Strong Excel skills is a must.
· Excellent written and verbal communication skills.
· Strong attention to detail and accuracy.
· Proficiency in Microsoft Excel, Word, Outlook, and PDF software such as Bluebeam or Adobe.
· Ability to read construction drawings and specifications is an asset but can be taught.

Compensation: $50,000-$60,000
