About the Firm

Position Overview

We are seeking an experienced Part-Time Corporate Legal Assistant to support our Corporate Legal Department in Oakville. The successful candidate will provide day-to-day legal and administrative support to two or more lawyers and will work closely with clients, firm personnel, government offices, and service providers.

· Location: Oakville, Ontario

· Schedule: Part-time, approximately 20 Hours per week

· Compensation: $28 per hour

Key Responsibilities

· Maintain and update physical and electronic corporate minute books and records.

· Prepare routine annual resolutions, annual returns, director and officer changes and registered-office changes.

· Prepare and organize documents for incorporations under lawyer supervision.

· Prepare and file PPSA and business name registrations, renewals and amendments.

· Manage calendars, diarize filing and transaction deadlines, and follow up on outstanding documents and signatures with clients.

· Open, maintain, and close client files; update client and matter information; organize correspondence and closing records; and assist with billing and invoice preparation.

· Communicate professionally with clients, lawyers, accountants, government offices, financial institutions, and service providers.

· Maintain strict confidentiality and comply with firm policies, privacy obligations of clients, and records-management procedures.

· Perform other related corporate legal assistant and administrative duties as required.

Qualifications and Skills

At least two (2) years of experience as a corporate legal assistant or corporate law clerk in a law firm or legal department, or an equivalent combination of relevant education and experience.
Working knowledge of Ontario and federal corporate filing practices and corporate records.
Strong attention to detail, organization, time management, and document-production skills.
Ability to work independently, exercise sound judgment, manage competing priorities, and collaborate effectively with lawyers and staff.
Excellent written and verbal communication and professional interpersonal skills.
Proficiency with Microsoft 365, including Word and Outlook; experience with OnCorp, Appara and GhostPractice would be an asset.
Demonstrated discretion and ability to handle confidential and sensitive information.
