POSITION SUMMARY
The Fitness Centre Manager is a leadership role responsible for the overall management, operation, and strategic direction of The Oakville Club's Fitness Centre. This position leads a team of Personal Trainers and Fitness Instructors, drives member engagement through innovative programming, and ensures the facility consistently meets the highest standards of safety, cleanliness, and member experience. The Manager acts as the primary point of accountability for all fitness-related operations and serves as a visible, approachable leader within the Club.
KEY RESPONSIBILITIES
Leadership & Team Management
- Recruit, onboard, schedule, and supervise Personal Trainers and Fitness Instructors, providing coaching, performance feedback, and professional development support.
- Set clear expectations for team performance and conduct regular one-on-one and team meetings to maintain alignment, motivation, and accountability.
- Mentor and develop team members, fostering a positive and collaborative work culture aligned with the Club's values.
- Maintain and update staff, Personal Trainer, and Fitness Instructor contact lists and HR-related records (e.g., PAR-Q forms, new client assessments).
- Serve as the primary escalation point for staff, member, and operational issues within the Fitness Centre.
Programming & Member Engagement
- Design, plan, and oversee a dynamic calendar of fitness programs, group fitness classes, and studio activities tailored to the needs and interests of the Club's membership.
- Actively track and assess member participation trends, gather feedback, and continuously evaluate and refresh programming to maximize engagement and satisfaction.
- Promote new and existing classes, programs, and services to members to achieve and maintain established minimum participation targets.
- Manage all class bookings, including adjusting schedules, replacing instructors, and cancelling under-enrolled classes as required.
- Conduct fitness orientations for new members and assist members in safe and effective use of fitness equipment.
Facility Operations & Standards
- Conduct regular, thorough inspections of all Fitness Centre spaces — including the fitness floor, studios, and related areas — to ensure cleanliness, functionality, and safety.
- Perform ongoing walkthroughs to uphold facility standards and respond promptly to maintenance concerns, member feedback, or safety issues.
- Monitor and enforce Club rules and regulations courteously and consistently, ensuring full compliance with all Club policies.
- Coordinate the procurement of fitness supplies and equipment; oversee servicing, maintenance, and repair of all fitness equipment in collaboration with Operations and Personal Trainers.
- Maintain safety-related supplies, including first aid kit(s) and AED units, ensuring all items are serviced and replaced according to the established annual schedule.
Administration & Communications
- Serve as the primary point of contact for Fitness Centre inquiries; manage all incoming calls, voicemails, and emails professionally with timely, member-focused responses.
- Draft and submit content for weekly member newsletters, in-centre notices, and program updates (subject to management approval).
- Ensure all fitness and wellness-related materials, signage, and communications are current, accurate, and reflective of the Club's brand standards.
- Process billing for fitness classes and personal training sessions in accordance with the schedule established by the Club Controller.
- Prepare and submit weekly operational reports on class attendance, facility traffic, member feedback, and program performance, along with recommendations for improvement.
- Maintain detailed written records of facility conditions, service requirements, and repair history; escalate significant concerns to Operations as needed.
QUALIFICATIONS & EXPERIENCE
Required
- Minimum 3-5 years of progressive experience in a fitness facility, health club, or similar environment, with at least 2 years in a supervisory or team lead capacity.
- Current Standard First Aid and CPR-C/AED certification.
- Demonstrated experience in program development, class scheduling, and fitness facility management.
- Strong leadership and interpersonal skills with the ability to motivate, manage, and develop a diverse team.
- Excellent communication skills, both written and verbal, including experience drafting member-facing content.
- Proficiency in Jonas software and standard office tools (email, scheduling systems, reporting).
Preferred
- Experience in a private members' club, hospitality, or high-service environment.
- Post-secondary education in Kinesiology, Exercise Science, Sports Management, or a related discipline.
- Certified Personal Trainer designation from a recognized organization (e.g., CanFitPro, ACE, CSEP, NSCA).
- Additional certifications in group fitness, wellness coaching, nutrition, or specialized training modalities.
- Familiarity with club management or booking software platforms.

WORKING CONDITIONS
This is a full-time, on-site position requiring the successful candidate to work a flexible schedule, including early mornings, evenings, and weekends, to support programming needs and member engagement. The role involves regular physical activity, including facility walkthroughs, equipment demonstrations, and conducting fitness orientations. The Fitness Centre Manager is expected to always maintain a visible and professional presence within the fitness centre. This position reports directly to the General Manager.
