We are seeking an experienced and dynamic Clinic Manager to oversee the daily operations of our clinic, supervise all staff, and drive business growth through strategic sales leadership and operational excellence.
Position Summary
The Clinic Manager is responsible for the full-scope supervision and coordination of all clinic staff, day-to-day operations, and client-facing activities at Spotless Laser. This role goes beyond standard supervisory duties, requiring the individual to lead revenue-generating sales initiatives, manage multi-channel client communications, oversee inventory and procurement, and ensure the delivery of a seamless, high-quality client experience. The Clinic Manager acts as the operational leader of the clinic and reports directly to the business owner.
Key Duties and Responsibilities
Staff Supervision & Leadership
● Coordinate, assign, and review the work of all clinic staff, including laser technicians, aestheticians, and front-desk personnel
● Establish and manage daily and weekly work schedules, ensuring optimal staffing levels to meet client demand
● Hire, onboard, and train new front of house employees on job duties, clinic protocols, safety procedures, workplace health standards, and company policies
● Conduct ongoing staff performance evaluations, provide coaching and mentorship, and implement corrective action plans as needed
● Resolve workplace conflicts and staff-related operational issues in a timely and professional manner
● Foster a high-performance, team-oriented work culture that supports staff retention and professional development
Sales Management & Client Relations
● Lead all sales activities for new client acquisition, including conducting in-person consultations, presenting treatment plans, and closing service packages
● Develop and execute upselling and cross-selling strategies for existing clients to maximize revenue per client and increase client lifetime value
● Manage client relationships end-to-end, ensuring satisfaction, handling complaints and escalations, and maintaining a high standard of customer service
Operations & Day-to-Day Management
● Oversee and ensure the smooth daily operation of the clinic, including opening and closing procedures, appointment flow, and service delivery
● Establish operational procedures and workflows, and coordinate activities across all functional areas of the clinic
● Monitor quality of service delivery and ensure compliance with health and safety regulations and industry standards
Inventory, Procurement & Supplies Management
● Requisition and manage all clinic supplies, consumables, skincare products, and materials
● Maintain accurate inventory records, conduct regular stock audits, and forecast supply needs to prevent shortages or overstocking
● Liaise with vendors and suppliers to negotiate pricing, manage orders, and ensure timely delivery of products and equipment
Communications & Client Engagement
● Manage all client communications across multiple channels, including phone, email, SMS, and online booking platforms
● Oversee and respond to client inquiries, appointment scheduling, follow-ups, confirmations, and re-engagement outreach
● Coordinate marketing communications and promotional campaigns in collaboration with ownership to drive client acquisition and retention
Employment Requirements
● Completion of secondary school is required
● Completion of post-secondary courses in business administration, management, aesthetics, is preferred
● Minimum of 2–3 years of supervisory or management experience in a service-oriented environment (aesthetic, medical spa, beauty, wellness)
● Demonstrated experience in sales, client consultation, and revenue growth
● Proficiency in clinic management software, POS systems, scheduling platforms, and standard office applications
● Strong organizational, leadership, communication, and problem-solving skills
● Two years of knowledge of and experience in laser and aesthetic services
Working Conditions
● Clinic-based environment
● May require standing for extended periods
● Occasional evening or weekend hours based on clinic schedule
Additional Information
This role carries elevated responsibilities beyond standard supervisory functions, including direct accountability for sales performance, full-scope operational management, and multi-channel client communications. Progression to senior management or multi-location oversight is possible with continued performance and experience.
