Full job description

BOOKKEEPER

Don Chendo Products Inc.

Full-Time | $26.00-$30.00 per hour, based on experience

Position Summary

We are looking for an experienced, detail-oriented Bookkeeper to manage the day-to-day accounting activities of our growing food distribution and manufacturing business.

This is a hands-on role responsible for accounts receivable, accounts payable, bank and credit card reconciliations, inventory-related accounting, month-end activities, and management reporting.

The ideal candidate is comfortable working independently, investigating discrepancies, and working across accounting, inventory, warehouse, production, and sales functions.

Key Responsibilities

Accounts Receivable

· Manage day-to-day accounts receivable activities.

· Create and maintain customer accounts.

· Process customer invoices, credits, returns, and adjustments.

· Apply customer payments and monitor outstanding balances.

· Process credit card payments using cards on file and manage EFT and e-transfer payments.

· Prepare and send customer statements.

· Follow up on outstanding receivables as required.

· Respond to customer inquiries regarding invoices, payments, credits, and account balances.

Accounts Payable & Purchasing

· Create and maintain purchase orders.

· Process supplier bills and invoices.

· Process and apply bill payments in QuickBooks Online.

· Maintain accurate and organized digital records of invoices, bills, and supporting documentation.

· Monitor accounts payable balances and upcoming payment requirements.

· Assist with landed costing and ensure purchasing and inventory costs are accurately recorded.

Reconciliations & Transaction Management

· Record daily expenses and other financial transactions in QuickBooks Online.

· Reconcile bank accounts, credit cards, merchant transactions, and payment platforms.

· Reconcile daily credit card merchant transactions to QuickBooks Online.

· Process and record cash and cheque deposits.

· Investigate and resolve discrepancies between QuickBooks Online, bank and credit card statements, payment platforms, and the inventory management system.

Inventory & Costing

· Work closely with the inventory management system to ensure purchasing and inventory-related transactions are accurately reflected in the accounting records.

· Review landed costs and inventory-related accounting entries.

· Investigate discrepancies between inventory and accounting records.

· Work with warehouse, purchasing, production, and management to resolve inventory and costing issues.

Month-End & Reporting

· Manage accruals and prepaid expenses.

· Prepare appropriate month-end journal entries.

· Perform month-end bank and credit card reconciliations.

· Assist with month-end closing activities.

· Monitor AP and AR balances and provide information for weekly management reporting.

· Prepare weekly and monthly financial and operational reports for management.

· Assist management with investigating unusual transactions, variances, and discrepancies.

· Maintain organized accounting records and supporting documentation for year-end and external accountant review.

Qualifications

· 3+ years of hands-on bookkeeping experience preferred, ideally in a distribution, wholesale, manufacturing, food, or inventory-based business.

· Strong working knowledge of QuickBooks Online (QBO) required.

· Experience working with an inventory management system strongly preferred.

· Experience with Fishbowl Inventory is a significant asset.

· Strong understanding of accounts payable, accounts receivable, bank reconciliations, credit card reconciliations, accruals, prepaid expenses, and month-end procedures.

· Experience with inventory costing and landed costs is strongly preferred.

· Strong Excel skills.

· High level of accuracy and attention to detail.

· Strong problem-solving skills and ability to investigate discrepancies rather than simply process transactions.

· Ability to prioritize and manage recurring daily, weekly, and monthly deadlines.

· Comfortable working independently while communicating effectively with management and other departments.

What We Are Looking For

This position is best suited to someone who is more than a data-entry bookkeeper. We are looking for a person who understands how transactions flow through the business, can identify when something does not look right, investigate the cause, and help maintain accurate financial and inventory records.

Experience in an inventory-based business is particularly important because accounting transactions are closely connected to purchasing, receiving, landed costs, inventory, invoicing, and supplier payments.

Pay: $26.00-$30.00 per hour
