Regenerative MD is looking to add an enterprising and vibrant individual who is detail oriented to be our BUSINESS / MEDICAL OFFICE MANAGER & LEAD ADMINISTRATOR. Our stylish practice focuses on concierge principles to deliver exceptional care experiences in regenerative sports medicine.

About Regenerative MD

Regenerative MD is an innovative, boutique regenerative sports medicine clinic focused on exceptional clinical outcomes and concierge-level patient experience. We exist to heal, rejuvenate, and preserve the joints, tendons, and bodies of our patients through advanced regenerative treatments, including ultrasound-guided PRP for osteoarthritis and tendinopathy. We prioritize quality over volume and deliver care with a concierge-level standard — and we're growing.

The Role

We're looking for a highly organized, business-minded leader to run the operational and administrative backbone of our clinic. This is not a clinical role — our procedural and phlebotomy needs are covered by our nursing team. Instead, this position is for someone who wants full ownership over the business and patient experience side of a growing specialty clinic.

You'll be responsible for:

1. Office & Business Management

Overseeing day-to-day clinic operations, systems, and workflows
Managing supply ordering, vendor relationships, and clinic budgets
Supporting bookkeeping and administrative reporting
Building and refining SOPs as the clinic scales

2. Lead Patient Administration (Concierge)

Owning the patient journey from first inquiry to booking to follow-up
Managing scheduling, patient communications, and the overall concierge experience
Handling patient inquiries, referrals, and coordination with physicians
Training and overseeing any junior administrative staff

3. Business & Brand Building

Contributing to marketing, referral partnerships, and community/brand presence
Identifying opportunities to improve patient experience and clinic efficiency
Acting as a key voice in shaping the business as it grows toward becoming an industry leader in regenerative medicine

Schedule

Full-time, approximately 40 hours/week
Monday to Friday, fully in-office, downtown Calgary
No work-from-home component — this is an in-person role

Compensation

$29.00–$36.00 per hour, based on experience
Paid hourly, contract position (open-ended, ongoing)
Bonus and retention structure available as you help grow the business

What We're Looking For

Proven experience in office management, business operations, or a similar leadership/admin role
Outstanding organizational skills and exceptional attention to detail
Strong, professional communication skills — written and verbal
Comfort managing patient-facing interactions with a high-touch, concierge mindset
Someone who is forward-thinking, self-directed, and excited to build systems and processes, not just follow them
Prior experience in healthcare, a clinic, or a medical aesthetics setting is an asset but not required
