Executive and Personal Assistant to the CEO

Falkbuilt’s approach to interior construction—Digital Component Construction—combines proven construction methods with next-generation technology to build beautiful, high-performing, and cost-effective environments.

We are seeking an innovative and experienced Executive & Personal Assistant to the CEO as a critical support role that thrives in a dynamic, fast-paced and ever-changing environment. You will provide high-level administrative leadership and exceptional hospitality that will support to the CEO, Executive Team, and Board. Ideal candidates are proactive, highly organized, and energized by helping the entire company succeed.

Responsibilities:

Provide comprehensive administrative support to the CEO, including assisting with special projects, presentations, reports, correspondence; collecting and preparing information for various meetings; maintaining contact management, and competing expense reporting.
Manage the CEO’s calendar and inbox with precision and coordinate seamless in-person and virtual meetings for executives, clients and stakeholders.
Arrange travel, accommodations, and itineraries for the CEO and executives, and oversee corporate credit card administration and reporting.
Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO, handling highly confidential and business-critical issues with professionalism, discretion, and sound judgment. Assess, prioritize, and determine the appropriate course of action, referral, or response while ensuring alignment with the CEO’s priorities, communication style, and strategic objectives.
Manage the CEO’s calendar and inbox with precision and coordinate seamless in-person and virtual meetings for executive leadership.
Ensure the timely and accurate flow of information across the office.
Support the Board of Directors by coordinating communications, meetings, and administrative requirements as needed.
Deliver exceptional hospitality and client experiences by welcoming guests, hosting clients, and maintaining a professional and inviting office environment.
Prioritize and respond to client and stakeholder inquiries with a high level of service and responsiveness.
Manage personal matters and special requests for the CEO with discretion and attention to detail.
Contribute to Falkbuilt’s collaborative culture by solving challenges, offering thoughtful and constructive recommendations, while supporting a positive, accountable team environment.
Be willing to take on additional responsibilities and special projects that support the success of the organization.

Skills and Experiences:

5-10 years of Executive or Personal Assistant experience (ideally in construction, technology, or professional services).
Strong leadership presence, professionalism, and poise under pressure.
Exceptional organizational and time management skills with meticulous attention to detail.
Excellent verbal and written communication skills (English proficiency required).
Proven ability to maintain the highest levels of discretion and confidentiality.
Tech-savvy with advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), calendar tools, and willingness to master our internal systems (Echo AI platform, project management tools).
Demonstrated ability to work independently while thriving in a collaborative environment.
Adaptable, energetic, self-motivated, and disciplined; comfortable giving and receiving candid feedback.
Strong decision-making and problem-solving skills with a positive, solution-oriented mindset.
