Create Compounding Pharmacy is a growing specialty pharmacy dedicated to excellence in sterile and non-sterile compounding, patient safety, and regulatory compliance. We are seeking a Compliance & Education Lead to help drive operational excellence, ensure regulatory compliance, and strengthen staff competency across our locations.
Job Overview
The Compliance & Education Lead serves as the operational champion for compliance, education, auditing, and continuous improvement. Working closely with the Quality Director and site leadership teams, this role ensures that regulatory requirements, policies, and best practices are effectively implemented, monitored, and reinforced across all facilities.
This position is ideal for a detail-oriented professional who enjoys auditing processes, analyzing data, developing training programs, and helping teams maintain the highest standards of pharmacy practice.
Duties
1. Implementation & Regulatory Enforcement
● The Enforcement Pillar: Transition newly developed workflows, projects, and policies from the Quality Director into active, compliant execution across all facility locations.
● P&P Micro-Mapping: Deep-dive into at least two Policies & Procedures (P&Ps) weekly, cross-referencing every section directly to its precise regulatory source (e.g., NAPRA or USP chapters) to guarantee bulletproof traceability.
● Environmental Monitoring (EM): Act as a core participant in conducting regular environmental sampling and proper documentation such as air and surface sampling as mandated by provincial pharmacy colleges and NAPRA standards.
● Certification Report Oversight: Review cleanroom and hood certification reports against NAPRA standards. Provide preliminary reviews and partner with Sterile Compounding Supervisors (SCS) to help them interpret, review, and take absolute ownership of their room metrics and gaps.
● College Audit Management: Serve as a frontline participant during official regulatory pharmacy college audits; collaborate with the Quality Director to turn audit feedback into structured, rigorously enforced action items.
2. Data Auditing & Metric Tracking
● Weekly Workflow QA: Conduct random weekly audits across key operational sectors (Call Centre, Lab, Logistics). This includes evaluating a selection of Kroll prescriptions and PK compounding records against strict checklists (verifying clear documentation, active MFR currency within 12 months, clear log photos, and correct BUD assignments).
● Compliance Metric Analysis: Execute data collection using the department’s compliance metric tracking systems. Document monthly shifts in compliance percentages (e.g., tracking a baseline vs. an improvement) and execute Root Cause Analysis (RCA) on deficiencies.
● Reporting: Compile and deliver weekly summary audit reports detailing clear findings to the Quality Director and designated site managers.
● Multi-Site Inspections: Conduct a comprehensive, in-person internal audit at each Create Compounding location at least once per year to gather macro-level data for organizational improvement.
3. Educational Leadership & Training
● LMS Development: Spearhead the growth of an ongoing Learning Management System (LMS) within Workhub, building interactive, practical theoretical knowledge courses using tools like Canva.
● Competency Program Ownership: Drive the implementation of the competency assessment program across all Create locations, tracking and holding designated site managers accountable to timely completions.
● P&P Huddles & Education: Turn weekly P&P updates into actionable staff knowledge by hosting training huddles or alignment meetings with facility managers to teach and reinforce compliance topics.
● Walkthrough Workshops: Host high-impact, monthly "Walkthrough Workshops" where site staff cycle through 20–30 minute practical deep-dives into critical compliance focus areas (e.g., Incident/Close-Call Reporting, BUD assignment, or monthly focused topics like Aseptic Techniques).
Skills & Experience (Requirements)
● Professional Designation: Registered or provisional Pharmacy Technician (RPhT).
● Clinical Expertise: 2+ years of direct, hands-on experience in sterile and non-sterile compounding.
● Regulatory Mastery: Deep, practical understanding of NAPRA and USP compounding standards, and how to apply them to daily operations.
● Software Proficiency: Highly experienced with Kroll and PK compounding software, with the ability to swiftly navigate audit trails, logs, and patient records.
● Auditing Acumen: Exceptional attention to detail with the ability to spot documentation errors, procedural deviations, and physical compliance risks on the floor.
● Communication: Strong interpersonal skills to effectively coach, correct, and educate peers without creating friction.
Assets
● Prior experience in a supervisory, QA, or designated lead role within a compounding pharmacy.
● Familiarity with LMS (e.g., Workhub) and basic design tools (e.g., Canva) for creating training materials.
● Previous experience directly participating in or managing provincial college pharmacy audits.
● A background or formal training in adult education, mentoring, or preceptor programs.
Working Conditions
● Hybrid Structure: 4 days in-person on the pharmacy floor for active auditing, education, and sampling; 1 day working
from home dedicated entirely to LMS development, data analysis, and P&P documentation.
● Physical Requirements: Ability to properly garb and enter sterile and non-sterile cleanroom environments for extended
periods to conduct audits and sampling.
● Travel: Occasional travel is required (at least once annually to each location) to visit and audit other Create locations.
