About the Role
As the Patient Experience Coordinator, you’ll be one of the first points of contact for our patients and a key part of how the clinic feels and functions day to day.
You’ll help set the tone from the moment someone walks through the door, answers the phone, or reaches out online. This role includes managing bookings, coordinating practitioner schedules, processing billing and insurance claims, supporting clinic flow, and helping keep the space organized, professional, and welcoming.
We are especially looking for someone with experience working with insurance companies, third-party billing, MVA claims, and WCB claims.

You’ll play a key role in helping patients navigate appointments, billing, claims, scheduling, and all the small details that make their care feel seamless. You’ll also be supporting a busy team of practitioners who rely on strong communication, organization, and follow-through to keep the clinic running smoothly.
Key Responsibilities
- Greet patients and manage appointment flow with professionalism, warmth, and confidence
- Coordinate bookings and practitioner schedules efficiently
- Answer phone calls, emails, and patient inquiries in a helpful and timely manner
- Process billing, payments, insurance claims, and direct billing accurately
- Coordinate MVA and WCB claims, including required documentation and follow-up
- Ensure all deposits and outstanding balances, especially MVA/WCB-related accounts, are completed in a timely manner
- Maintain patient files and ensure confidentiality within our digital EMR system
- Support clinicians with patient setup, movement screening, or exercise prep when appropriate and qualified
- Keep the reception area and clinic space organized, tidy, and welcoming
- Assist with daily administrative tasks, closing procedures, and general clinic support
- Communicate clearly with patients, practitioners, and the admin team to support a smooth clinic experience
- Help identify and solve small issues before they become bigger ones

- You understand the importance of confidentiality, accuracy, and professionalism in a healthcare setting

- You bring initiative, curiosity, and a desire to keep improving
- Experience with EMR systems, direct billing, insurance coordination, MVA claims, and WCB claims is a strong asset.
