Salary: $65,600 to $80,000 annually

What does this role look like?

The CBE understands the future of work is flexible. In this role, you are eligible to participate in a flexible work program that allows you to work remotely for up to three days a week. A minimum of two days must be in the office. At certain times, you maybe be required to work in the office more then 2 days per week based on operational requirements.

Purpose

The Administrative Assistant, Office of the Corporate Secretary, provides comprehensive administrative, clerical and records management, and bookkeeping support services to the Board of Trustees and Office of the Corporate Secretary. The job supports the efficient day-to-day operations of the office through accurate document production, correspondence coordination, records management, customer service and administrative support. Working within established procedures and guidelines, this job acts as a key member of the support team and maintains a high degree of professionalism, tact, confidentiality and responsiveness in interactions with trustees, stakeholders and the public.

Accountability

This job is accountable for:

Performing accurate and timely administrative, clerical, bookkeeping and records management support to the Board of Trustees and the Office of the Corporate Secretary.
Supporting the effective daily operations of the office through coordination of correspondence, meetings, inquiries, schedules, travel arrangements and financial documentation.
Maintaining accurate and current records, filing systems, budget information and expense documentation in accordance with established procedures and guidelines.
Delivering professional, responsive and confidential customer service to trustees, staff, stakeholders and the public.
Ensuring confidentiality and discretion in handling sensitive information and matters related to the Calgary Board of Education.

What will you do?

Major responsibilities

Acts as the first point of contact to the Board of Trustees' Office and Office of the Corporate Secretary. Receives visitors, answers telephones, responds to inquiries, relays messages and provides information regarding Calgary Board of Education policies, procedures, regulations and practices in a professional, tactful and forthright manner.
Screens, logs and redirects daily calls, e-mails, correspondence and inquiries for the Board of Trustees’ office and Office of the Corporate Secretary. Identifies sensitive or urgent matters and escalates them to the Corporate Secretary, as appropriate.
Provides accurate and pertinent information to address and de-escalate sensitive or confrontational situations, and initiates contact with appropriate Service Units or Departments as required.
Redirects Office of the Corporate Secretary and Board of Trustees’ mail within the organization as appropriate, through established procedures and guidelines.
Supports the management of the Board of Trustees’ general emails by responding to, forwarding, and tracking correspondence, as appropriate.
Provides administrative support for Community of School Council meetings and Board of Trustees’ communications to school councils.
Prepares, formats, edits and distributes forms, correspondence, reports, procedures, memoranda, notes, information packages, etc. ensuring accuracy, confidentiality and adherence to timelines.
Ensures documentation is accurately completed, directing documentation to appropriate individuals and Service Units, maintaining records of information requests, and providing update to the Board of Trustees in a timely manner.
Incorporates corporate records into the electronic document management system.
Coordinates meetings, conferences, presentations and catering for all Board of Trustees and Committee meetings.
Coordinates travel and accommodation arrangements for all trustees and Corporate Secretary, ensuring proper documentation is completed and submitted in a timely manner.
Provides administrative and clerical support to the Office of Corporate Secretary, ensuring that office functions are maintained in an efficient and effective manner. Reviews and distributes incoming mail.
Orders, maintains, and tracks office supplies and related inventories.
Supports the Corporate Secretary in managing the Board of Trustees’ annual budget.
Prepares and maintains Trustees’ expense claims and related records and reports in accordance with organizational processes and guidelines.
Processes, collects, prepares, verifies, and / or reconciles budget expense information, financial records and office supply orders, ensuring accuracy and compliance with Calgary Board of Education processes and procedures.
Performs other related responsibilities as assigned.

What are we looking for?

Qualifications

Education and Experience

Administrative Information Management Diploma or Office Assistant Certificate.
Minimum three years related experience in an office environment.
Other equivalent combinations of directly related post-secondary education and directly related experience may be considered.

Demonstrated Skills and Competencies

Knowledge of basic bookkeeping and office / records management.
Strong proficiency in MS Office Suite, including MS Excel.
Strong customer service orientation.
Very good time management, prioritization, multitasking and organizational skills
Ability to adapt and manage change.
Strong verbal and listening communication skills, combined with good written communication skills and very good interpersonal skills.
Ability and success in building productive relationships with co-workers, staff and other internal and external stakeholders.
Professionalism, tact, courtesy and diplomacy skills.
Ability to deal with sensitive and discretionary matters and maintain strict confidentiality.
