McMillan has an exciting opportunity as a Legal Administrative Assistant in our Calgary Financial Services Group. As a member of the team, you will play a key role in managing legal and administrative aspects of the practice of a team of successful legal professionals. This position is being posted to fill an existing vacancy.
Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the Calgary office for the balance. Your hybrid schedule will start once you join McMillan!
What You’ll Do
- Act as a go-to person for your team who will depend on your guidance and support to keep them organized.
- Prepare documents and draft correspondence
- Organize and maintain documents within the document management system
- Open new client matters and manage related administrative processes
- Manage calendars and coordinate meetings
- Leverage technology to service clients in an efficient and effective manner
- Assist with closing transactions, preparing closing books and coordinating funds
- Draft and revise large documents and agreements
- Prepare execution copies and stand-alone signature pages, compare documents, and compile fully executed copies of agreements
- Download documents from data rooms and save them to the document management system.
What You Bring
- Your history includes a Legal Administrative Assistant certificate and a minimum of 1-3 years of law firm experience.
- Financial Services or transaction based related experience is an asset.
- Strong administrative, organizational and interpersonal skills.
- You are detail-oriented and are able to effectively meet deadlines, work well in a team-setting and independently, and provide an exceptional level of client service.
- Embrace evolving technology and have strong skills in Microsoft Word, Excel and PowerPoint.
- Prior experience with Desksite, Intapp, and 3E or similar document management, file opening and accounting software is an asset.

Salary range: $55,000 - $65,000 annually
