Service Advisor / Service CoordinatorTruck & Trailer Fleet Maintenance

Be the Voice of the Customer. Be the Heart of the Shop.

Gateway Trailer Repairs is seeking an experienced and highly organized Service Advisor / Service Coordinator to help lead the communication, coordination, and customer service functions within our growing truck and trailer repair operation.

This role is critical to our success. You will grow to serve as the connection point between customers, technicians, parts personnel, and management, ensuring every repair is communicated clearly, scheduled effectively, and completed with exceptional customer service.

What You'll DoCustomer Service & Communication

Serve as the primary point of contact for customers.
Build strong relationships through clear, professional, and proactive communication.
Gather repair information and accurately create work orders.
Keep customers informed throughout the repair process.
Explain repair recommendations and completed work in a professional manner.
Resolve customer concerns quickly and effectively.

Service Coordination

Coordinate daily workflow between customers, technicians, parts personnel, and management.
Schedule service appointments and repair activities.
Monitor repair progress and communicate changes or delays.
Ensure accurate documentation of work orders, repair details, labor entries, and customer information.
Assist with service planning to maximize shop efficiency and customer satisfaction.

Shop Support

Work closely with technicians to ensure repairs are properly documented.
Assist with estimate preparation and repair approvals.
Coordinate parts requirements and repair scheduling.
Support management in achieving production, quality, and customer service goals.

Team & Culture

Contribute to a positive, respectful, and team-focused work environment.
Treat coworkers and customers with professionalism and respect.
Help create a workplace culture built on accountability, communication, and teamwork.
Maintain emotional control and professionalism during busy or high-pressure situations.

Required Qualifications

Previous experience as a Service Advisor, Service Coordinator, Service Writer, Dispatcher, or similar role.
Strong customer service and relationship-building skills.
Excellent verbal and written communication abilities.
Demonstrated ability to multitask in a fast-paced environment.
Strong organizational and time-management skills.
Proficiency with computer systems and repair management software.
Ability to remain calm, professional, and solution-focused under pressure.

Preferred Qualifications

Experience in a truck, trailer, heavy-duty, fleet maintenance, transportation, agricultural, automotive, or equipment repair environment.
Knowledge of truck and trailer components and repair processes.
Experience with work orders, estimates, invoicing, and scheduling systems.
Mechanical background or industry experience considered an asset.
