FTE: Part-Time LCF (200 hours) and Part-Time AA (900 hours)

Located in the City of Calgary and supporting students from Kindergarten to Grade 6 , Calgary Christian Elementary School invites enthusiastic individuals to apply for the Permanent, Part-Time, Administrative Assistant and Learning Commons Facilitator position available starting August 21, 2026. Responsibilities:
- Serves as Administrative Assistant to the Principal and administrators in the school. Sorts and refers mail and e-mail, answering routine correspondence as necessary. Coordinates meetings and conferences. Screens calls and provides factual information regarding the operation of the school. Prepares form letters and notices. Takes minutes at staff meetings as required.
- Ensures provision of reception service to telephone and counter callers, relays messages, and makes appointments and supplies factual information, including basic school policy and procedures. Maintains inventories and distributes requisitions for supplies and services. Distributes office supplies.
- Schedules conference and meeting rooms. As required, may assist with bookings, arranges transportation, processes release forms, permission slips, and notices according to established procedures for field trips.
- Maintaining office files, wall charts, bulletin boards, etc. Responsible for the production of school newsletters, and teacher/ student handbooks/agendas.
- Processes and verifies school staff absentee and vacation records for the school according to established procedures. Prepares reports and summaries as requested by the Principal. Completes work relating to the student information system.
- Assigns duties applicable to the recording and processing of attendance information, and the telephoning of parents to verify attendance. Assists in maintaining accurate school enrolment records by processing changes to personal data, class lists, and additions and deletions to the school. Compiles reports and summaries as necessary.
- Ensuring data relating to the Student Information System (SIS) is accurately entered.
- Assigns duties applicable to the documentation and maintenance of school and student files. Ensures processing of student records. Requisitions cumulative records. Records promotion information, student registration, etc. and files test results, and reports dealing with social and personal problems. Forwards cumulative record folders as required.
- As required, coordinates the processing and preparation of electronic report cards. May involve the distribution, collection, and verification of mark-gathering documents and the coordination of processes for preparation of report cards.
- Collaborate with school staff to gather data and resources to meet the learning needs and interests of students;
- Provide support, space and resources for inquiry, play, and imagination in consultation with Administration;
- Collaborate with teachers to find resources (repositories of learning materials, audiobooks, etc.) to support learning;
- Engage students in the learning process;
- Provide support, resources, and opportunities for transferability of learning to support broad exploration and inquiry that leads to deeper learning;
- Support the use of technology for learning and assist Administration with digital citizenship initiatives;
- In collaboration with Administration, create and maintain a school Learning Commons Plan for the purposes of promoting the use of quality print and digital learning resources in multiple formats that address a diverse range of student learning and developmental needs;
- Maintain resource inventory through the automated Library software program;
- Provide support with research skills development for staff and students that promote academic integrity;
- Promote literacy within your school community;
- Work collaboratively in the selection and acquisition of material for the learning commons in consultation with Administration and/or the school-based Learning Commons Committee;
- Maintain up-to-date inventory in consultation with Administration;
- Assist with the supervision of students in the learning commons and provide support to students;
- Perform other related duties as assigned by administration.
Qualifications:
- Post-secondary diploma in a recognized administrative assistant program (i.e. Administrative Information Management Diploma or equivalent)
- Three to five years related administrative support experience in an office environment
- Experience with standard accounting software programs
- Experience with “Edsembli/Sparkrock or PowerSchool”, “SIRS” and “KEV”
- An equivalent combination of directly related post-secondary education and directly related experience may be considered.
Demonstrated Skills and Competencies:
- Proficiency in word processing applications.
- Demonstrated electronic search technique skills.
- Accurate keyboarding skills an asset. Demonstrated organizational and time management skills.
- Demonstrated interpersonal skills with a strong customer service orientation.
- Must be able to take initiative, be self- motivated and have the ability to work independently.
- The ability to work with constant interruptions.
- Must be a continuous learner.
- Must possess the ability to relate to students and staff and to participate collaboratively in a creative learning team environment.
- Personal suitability.
- Successful Criminal Reference Check, including vulnerable sectors (within 3 months of contract start date).

- A commitment to Christian education.
- Provide a Statement of personal Christian Faith detailing a commitment to Christian Faith and education, with an accompanied letter of Pastoral reference (required).
