Full job description

West-Can Floor & Home is a locally owned flooring company proudly serving Vancouver Island. We specialize in providing quality flooring products along with expert service and installation. Our team is committed to creating a welcoming and professional experience for every customer who walks through our doors.

Position Overview

We are looking for a friendly, organized, and reliable Receptionist / Administrative Assistant to be the first point of contact for our customers. This role combines front desk responsibilities with a variety of administrative, accounting, and office support duties, helping ensure the day-to-day operations of the business run smoothly and efficiently.

Key Responsibilities

Greet and welcome customers in a professional and friendly manner
Answer and direct incoming phone calls
Respond to general inquiries in person, by phone, and via email
Maintain a clean and organized front reception area
Assist sales staff with administrative tasks
Schedule appointments and manage calendars as needed
Handle incoming and outgoing mail and deliveries
Coordinate and assist with shipping and receiving, including receiving incoming products, verifying shipments, processing paperwork, and coordinating deliveries
Assist with Accounts Payable (AP), including entering invoices, matching invoices to supporting documentation, and assisting with payment processing
Assist with Accounts Receivable (AR), including customer account updates, payment processing, and following up on outstanding balances as required
Assist with data entry, filing, and general office administration
Provide general administrative support to management and other team members as needed

Qualifications

Strong communication and customer service skills
Positive attitude and professional demeanor
Excellent organizational and multitasking abilities
Basic computer skills, including email, scheduling, and data entry
Strong attention to detail and accuracy
Previous reception or customer service experience is an asset but not required
Previous AP/AR or accounting experience is an asset
Ability to maintain confidentiality and handle financial information professionally
