Full job description

Bookkeeper / Executive Assistant

We are seeking a highly organized and detail-oriented Bookkeeper / Executive Assistant to join our team. This dual-role position combines financial recordkeeping and administrative support for senior leadership. The successful candidate will be responsible for maintaining accurate financial records, processing payroll, managing accounts receivable and payable, and providing executive-level administrative support. The ideal candidate will have experience with QuickBooks Online, strong organizational skills, and the ability to manage multiple priorities in a professional and confidential manner.

Duties and Responsibilities Bookkeeping & Accounting

Maintain accurate financial records by recording daily transactions.
Process payroll and ensure timely and accurate payment to employees.
Manage accounts receivable and accounts payable.
Perform account reconciliations and financial analysis.
Prepare financial reports, including balance sheets, income statements, and cash flow reports.
Assist with budgeting and forecasting activities.
Conduct bank and credit card reconciliations to ensure data accuracy.
Maintain organized financial documentation and records.
Support month-end and year-end accounting processes.

Executive Assistant Duties

Provide administrative support to senior management and executives.
Manage calendars, schedule meetings, and coordinate appointments.
Prepare correspondence, reports, presentations, and meeting materials.
Coordinate travel arrangements, accommodations, and expense reporting.
Act as a point of contact between executives, staff, clients, and external stakeholders.
Organize and maintain confidential files and records.
Assist with special projects and business initiatives as assigned.
Take meeting minutes and follow up on action items.
Support office administration and ensure efficient day-to-day operations.

Qualifications and Skills

Proven experience as a Bookkeeper, Executive Assistant, Office Manager, or similar role.
Proficiency in QuickBooks Online and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong knowledge of bookkeeping and accounting principles.
Experience processing payroll and managing accounts payable and receivable.
Exceptional organizational, time management, and multitasking abilities.
Strong written and verbal communication skills.
Ability to handle sensitive and confidential information with discretion.
Excellent attention to detail and accuracy.
Ability to analyze financial data and generate meaningful reports.
Self-motivated, proactive, and able to work independently.
