Full job description

Job Summary

We are seeking a friendly, organized, and proactive Receptionist to join our dynamic team! In this vital role, you will be the first point of contact for visitors , family members, outside care providers, and Residents, ensuring a welcoming environment while managing a variety of administrative tasks. Your energy and professionalism will help create a positive experience for everyone who interacts with our office. This position offers an exciting opportunity to develop your clerical and customer service skills in a fast-paced setting.

Responsibilities

Greet visitors warmly and direct them to the appropriate personnel or department
Answer multi-line phone systems promptly and professionally, providing excellent customer support
Manage incoming and outgoing correspondence, including emails, mail, and packages
Maintain organized filing systems and ensure accurate data entry using Microsoft Office and Google Workspace tools
Schedule appointments, coordinate meetings, and manage calendars efficiently
Perform general clerical duties such as photocopying, proofreading documents, and maintaining office supplies, emailing invoices
Support bookkeeping tasks
Ensure front desk area remains tidy, welcoming, and professional at all times

Requirements

Proven office experience with strong organizational skills and attention to detail
Excellent customer service skills with professional phone etiquette
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills including data entry, filing, and document proofreading
Experience with multi-line phone systems and front desk operations
Knowledge of Retirement procedures is a plus
Exceptional organizational skills with the ability to prioritize tasks effectively
Typing speed and accuracy; keen eye for proofreading details
Excel experience, and ability to create spreadsheets
