Customer Service Representative (CSR)Overview
ProColor Collision Oshawa North is seeking a professional, organized, and technology-focused Customer Service Representative to join our team.
This position is ideal for someone who is highly comfortable working with computers, learning new software, managing digital information, and using artificial intelligence tools to improve productivity and communication.
The successful candidate will assist customers throughout the repair process, maintain accurate electronic records, coordinate communications, and support the administrative operation of a busy automotive repair facility. Strong computer skills, attention to detail, and the ability to learn new systems quickly are essential for this role.
Key Responsibilities
- Greet customers and provide professional assistance by phone, email, text message, and in person.
- Provide customers with updates regarding appointments, estimates, repairs, and vehicle completion.
- Accurately enter and update customer, vehicle, insurance, and repair information within company software systems.
- Upload, organize, and maintain digital documents, photographs, invoices, and customer records.
- Schedule customer appointments, vehicle drop-offs, inspections, and repair bookings.
- Communicate with customers, insurance representatives, suppliers, and internal team members.
- Use AI-powered tools to assist with written communications, administrative tasks, document preparation, and workflow efficiency.
- Review AI-generated content for accuracy, professionalism, and appropriate wording before use.
- Learn and operate multiple computer programs, online portals, estimating platforms, and communication systems.
- Monitor emails, electronic assignments, messages, and outstanding administrative tasks.
- Assist with invoicing, payment processing, data entry, and general office administration.
- Address customer questions and concerns professionally and escalate matters when required.
- Maintain accurate records and protect confidential customer and insurance information.
- Work closely with the production and management teams to ensure customers receive timely and accurate information.
Required Skills and Qualifications
- Strong computer skills and confidence using technology throughout the workday.
- Comfortable learning new software, online platforms, and digital processes.
- Comfortable using artificial intelligence tools such as ChatGPT, Microsoft Copilot, or similar platforms.
- Ability to use AI responsibly while verifying accuracy and protecting confidential information.
- Proficiency with email, web browsers, Microsoft Office, PDF documents, scanning, file management, and online forms.
- Strong typing and data-entry skills with a high level of accuracy.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Professional phone etiquette and a customer-focused attitude.
- Strong attention to detail and ability to follow established procedures.
- Dependable, adaptable, and willing to learn.

Preferred Qualifications
- Previous customer service, receptionist, administrative, or office experience.
- Experience working in an automotive dealership, collision repair facility, insurance office, or mechanical repair shop.
- Familiarity with customer relationship management systems, estimating software, accounting software, or insurance portals.
- Experience using Microsoft 365, Google Workspace, QuickBooks, or similar business applications.
- Knowledge of automotive terminology or the collision repair process is an asset but not required.

We are looking for someone who is personable, dependable, detail-oriented, and capable of providing an excellent customer experience while managing a variety of digital and administrative responsibilities.
Pay: $18.60-$24.41 per hour
