Whitby Landscaping & Gardening Services Inc. is hiring a full-time Office & Operations Coordinator to support our growing landscaping business. This is a dynamic role that combines office administration, customer service, scheduling, bookkeeping support, and occasional field coordination.
We are looking for a professional, reliable, and highly organized individual who is comfortable working in a fast-paced environment and is not opposed to longer hours during peak season.
Position Overview
This role is central to our daily operations. You will be responsible for coordinating office functions, supporting field crews, and ensuring smooth communication between customers, staff, and management.
Key Responsibilities
- Answer phones, emails, and customer inquiries in a professional manner
- Schedule estimates, site visits, and landscaping projects
- Coordinate crew scheduling and daily job logistics
- Prepare quotes, invoices, and customer follow-ups
- Manage records, job files, and office organization
- Assist with QuickBooks bookkeeping and basic accounting tasks
- Support project coordination and operational planning
- Occasionally attend job sites for measurements, updates, or client meetings
- Work closely with management to improve workflow and efficiency
Qualifications
- Strong organizational and multitasking skills
- Professional communication and customer service skills
- Ability to work in a fast-paced, seasonal business environment
- Experience with QuickBooks (required)
- Comfortable working both independently and as part of a team
- Valid Ontario driver’s license (required)
Compensation
- $22 – $32 per hour (based on experience)
