Clinic Coordinator (Remote, EST Hours)

About AdminFlow Wellness Solutions

AdminFlow is a women-led, in-house virtual administration company that supports solo practitioners and small-to-medium-sized health clinics. From front desk support to full clinic management, we help our clients streamline operations, elevate client care, and grow their practices.
We specialize in working with wellness providers — including Physiotherapists, Chiropractors, Therapists and more — across Canada.

What You’ll Do

As a Clinic Coordinator, you'll be the first point of contact for clients and a key piece of each clinic’s operational flow. You’ll work closely with our internal team and client practitioners to ensure smooth day-to-day functioning of the practice.

Key Responsibilities:

Answer incoming client calls, emails, and live chats via Zoom and Slack with warmth and professionalism
Manage scheduling using Jane app — booking, rescheduling, and confirming appointments accurately
Coordinate practitioner calendars and clinic schedules, ensuring a smooth flow
Respond to inquiries and gather key intake information, triage leads, and support new patient bookings.
Send client updates, appointment reminders, and follow-up communication as needed
Maintain accurate and up-to-date client records in compliance with PIPEDA standards
Generate weekly clinic performance summaries and track consultation conversion rates
Collaborate with practitioners and clinic owners to support ongoing client care and administrative needs

Who You Are

You’re a natural organizer and problem-solver, and you take pride in helping others succeed behind the scenes. You bring professionalism, empathy, and clarity to every interaction — even when juggling a busy inbox.

You’ll thrive in this role if you have:

2+ years of administrative experience in a healthcare, wellness, or clinic setting
Proficiency with Jane App, Google Workspace, Slack, Zoom, Click-Up and Gmail
Strong communication skills — both written and verbal — and a warm, client-centered approach
Excellent time management, with the ability to self-prioritize in a remote environment
Comfort working across multiple clinics and adapting to varying needs
A strong understanding of clinic operations and confidentiality best practices
A passion and understanding for supporting mental health and trauma-informed care environments
