Reporting to the Manager, Food Services, the Hub Office Assistant supports the program delivery and provides administration support to the local Hubs (Bowmanville and Port Perry) to staff and volunteers.
Responsibilities include but not limited to:
Hub Assistance
- Maintains office Health and Safety bulletin boards;
- Performs monthly Health and Safety inspection and provides follow-up when needed to address concerns (includes inspection of First aid safety kit);
- Maintains Hub kitchen sanitation;
- Works with Procurement to maintain office supplies and coordinates maintenance of office equipment;
- Monitors bookable spaces in the Hubs;
- Provides coverage and back-up to Hub Programs, including Food Services Programs and Foot Care Clinics, to ensure continuity of service delivery during staff absences, vacations, training, and periods of increased demand;
- Supports client scheduling, and program operations as required to maintain seamless service delivery;
- Cross-trains with Program Associate staff to ensure operational continuity and effective program support.
Front Office Assistance
- Receives incoming personnel and items while applying appropriate screening protocols and informs parties of their arrival;
- Answers phone inquiries, transfers calls, and takes messages;
- Processes incoming and outgoing mail;
- Assigns security keys and badges to staff and volunteers;
- Maintains entry appearance of the Hub (brochures, cleanliness, sanitation practices, etc.,).
Administration
- Assists with setting weekly agendas for meetings and taking meeting minutes;
- Provides administrative support to the Manager in special projects;
- Completes weekly deposits/reconciliation for service-related finances and donations using CCD Financial systems.
Qualifications required:
- Post secondary education n Office Administration, Executive Office Administration or related field
- Minimum One (1) year of experience in administrative role is an asset
- Intermediate experience using Microsoft Office (Word, Excel, SharePoint, PowerPoint) and strong computer skills
- Experience using a Client Information Management System is an asset
- Strong customer service skills with the ability to work in a fast-paced environment
- Strong communication and organizational skills with the ability to multitask
- Sensitivity to the needs of the vulnerable population with disabilities, including challenges in cognition
- Clear Vulnerable Sector Police Check completed within the past 6 months. (Please note: 4–6 weeks processing time)
- Must work in a safe manner and promote the health and safety of all staff, volunteers, clients and the community as outlined within CCD policies
Compensation: Hourly base rate of $21.00; with an additional 5% in lieu of benefits, and 6% vacation pay
Work Location: Bowmanville and Port Perry
*Subject to change, CCD staff may be required to work anywhere throughout the Durham Region
Hours of Work: Working hours are between 8:30am – 4:30pm. Casual (up to 35 hours/per week)
