Full job description

Busy real estate law office seeking a legal assistant to cover maternity leave.

The primary role of this position is the "voice" of the firm responding and following up with prospective clients and existing clients.

The secondary role of this position is assisting other members of the office to ensure the smooth function of the office operations.

The ideal candidate would be someone who takes ownership of their roles and looks beyond the "checklist" and is willing to understand the reasoning behind tasks in order to come up with solutions independently. Must have access to a vehicle. Future opportunity available at the end of the contract.

Primary role essential skills:

- Fluency in English

- Pleasant and professional demeanor, even under high pressure

- High ability to self-organize

- Sales ability to build rapport and promote firm services and products

- Ability to multi-task and process extremely high volume of calls and emails (as high as 30+ calls a day and 100+ emails a day)

- Attention to detail (names, birthdates, addresses, phone numbers, email addresses)

Secondary role essential skills:

- Advanced typing skills and ability to work in a Windows computer environment

- Proactive in monitoring and requesting status updates to file progression

- Attention to detail (names, birthdates, addresses, phone numbers, email addresses)

- High ability to self-organize

Primary role daily tasks:

- Assess prospective client needs, identify services required, and provide the corresponding quotation of fees

- Touch base with previous prospective clients and ensure high retention rate of prospective clients.

- Ledger new client deposits, creating client and transaction files, and providing receipts for client funds

- Responding to or re-directing existing client inquiries

Secondary role daily tasks:

- Ordering title and off-title searches

- Scheduling client signing appointments

- Ordering and scheduling deliveries

- Reviewing and sorting incoming faxes

- Sending out post-closing notice letters

- Coordinating with team members to maintain proper work flow

- Filling in on bank runs as necessary

Bonus Skills that would be considered an asset, but not required:

- Fluency in other languages/dialects (spoken or written) (Cantonese/Mandarin/Arabic)

- Past experience in similar real estate law offices

- Past experience in a sales/supervisory position

- Working knowledge of Teraview

- Working knowledge of Clio

- Working knowledge of Closer/Lawyerdonedeal platforms

- In-depth understanding of real estate business

- In-depth understanding of mortgage lending business

Job Types: Full-time, Permanent

Pay: $40,000.00-$50,000.00 per year
