Full job description

Giggey & Despatie is looking to hire one (1) full-time Receptionist/Legal Assistant. The successful candidate must be able to multi-task in a fast-paced environment and should have strong organizational, writing and computer skills.

Duties and Responsibilities

Reception:

Greeting clients and processing client intakes
Answering and directing phone calls
Scheduling appointments
Billing clients on a regular basis
Performing bank runs
Processing client payments
Performing general office tasks, including ordering and sourcing office supplies
Inputting and updating client data
Filing (both electronic and paper files)
Scanning and organizing files
Other duties as assigned

Legal Assistant (duties as outlined above, as well as):

Electronic and in-person court filing
Drafting correspondence, court documents and other memoranda
Transcribing dictation
Corresponding with clients, opposing parties/counsel, and the court
Scheduling court dates
Other duties as assigned

The successful candidate must be an organized, detail-oriented team player, who is able to handle multiple deadlines and completing tasks, as well as able to provide accessible, friendly and efficient customer service.

Qualifications

Experience working as a receptionist and/or legal assistant/clerk is an asset, as is experience working with LEAP, Closer and/or Teraview.
Excellent computer skills with expertise in Microsoft Office, and experience with, or ability to learn, other software programs such as the ones listed above.
Strong organizational and problem-solving skills.
The ability to produce a high quality and quantity of work, with the ability to prioritize and to redefine priorities when necessary.
The ability to communicate effectively with clients and other firm members, independently, as well as in a team environment.
