As we continue to grow, we are seeking a highly organized, proactive, and solutions-oriented Project Coordinator & Operations Support professional to become a key member of our leadership team.
This role is ideal for someone who enjoys bringing order to complexity, coordinating people and information, improving systems, and ensuring projects move smoothly from sale through installation and completion.
Position Purpose
The Project Coordinator & Operations Support role serves as the central communication and coordination hub of the company.
You will work closely with ownership, sales, drafting, production, purchasing, and installation teams to ensure projects remain organized, customers remain informed, and critical information is available when needed.
This is more than a traditional project coordinator role. We are looking for someone who can help strengthen communication, improve workflows, support scheduling, and assist in building the operational systems required for continued growth.
The successful candidate will help transform information into action and ensure that projects move efficiently through the business.
Key Responsibilities
Project Coordination
- Track projects from contract award through completion.
- Maintain project schedules, milestones, and status updates.
- Coordinate communication between sales, drafting, production, purchasing, and installation.
- Monitor project progress and identify potential risks or bottlenecks.
- Ensure required information, approvals, and decisions are received on time.
- Maintain accurate project documentation and records.
Client Communication
- Serve as the primary customer contact following project award.
- Provide regular project updates and progress reports.
- Coordinate site visits, measurements, approvals, and installation preparation.
- Manage customer expectations regarding schedules and project milestones.
- Respond promptly to client inquiries and concerns.
- Ensure every customer receives a professional and organized experience.
Operations Support
- Assist ownership and department leaders with operational planning and coordination.
- Support production and installation scheduling processes.
- Track project readiness and identify missing information before it impacts production.
- Assist with workload planning and resource allocation.
- Monitor project dashboards and reporting systems.
- Help improve communication and accountability across departments.
Process Improvement
- Develop and maintain project tracking systems.
- Help create standardized workflows and procedures.
- Identify opportunities to improve efficiency and reduce communication gaps.
- Support implementation of operational improvements and best practices.
- Assist with KPI tracking and reporting.
Commercial & Contractor Coordination
- Communicate with contractors, project managers, site supervisors, architects, and consultants.
- Coordinate project schedules and site readiness requirements.
- Track deficiencies, outstanding items, and completion requirements.
- Assist in resolving project issues and schedule conflicts.

Qualifications
Required
- Strong organizational and project coordination skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple projects and competing priorities.
- Strong attention to detail.
- Professional, customer-focused mindset.
- Proficiency with Microsoft Office and digital business systems.
- Strong problem-solving abilities.
- Ability to work independently and take ownership of responsibilities.
Preferred
- Experience in cabinetry, millwork, manufacturing, construction, commercial interiors, or related industries.
- Experience in project coordination, operations support, scheduling, or project administration.
- Familiarity with reading architectural drawings and construction documents.
- Experience working with contractors, trades, architects, designers, suppliers, or manufacturers.
- Experience implementing systems, workflows, or operational improvements.
