Position Title: Controller
Department: Finance
Reports to: Chief Financial Officer (CFO)
Communicates with: Executive Leadership Team, Shareholders, Management Group, Senior Staff – all departments, External Accountants, Bank Representatives, Insurance Representatives, Government Representatives.
Position Summary:
Reporting to the CFO, the Controller provides leadership and oversight across the Financial Accounting, Inventory Control, and Accounts Payable functions. The role is accountable for the timely and accurate preparation of weekly management reports, monthly financial statements and working papers, year-end financial statements, and annual corporate budgets, as well as supporting quarterly board and shareholder reporting.
The Controller ensures all statutory filings across each legal entity within the organization are completed accurately and on time. Working in close partnership with the CFO, this role plays an active part in advancing strategic corporate initiatives and driving continuous financial and operational improvement.
Primary Responsibilities:
1) Planning:
- Ensure effective and efficient processes through continuous review of department needs. Support recommendations to management for change, with cost/benefit analysis. Implement approved changes.
- Assist in the development and preparation of annual corporate budgets.
2) Financial:
- Prepare monthly financial statements for the global group of companies, ensuring they comply with ASPE and Company policy.
- Review G/L monthly for accuracy and maintenance of cost controls.
- Maintain accounts, sub-accounts and identifiers to ensure accurate and relevant management reporting and making recommendations for changes that will improve this reporting.
- Maintain capital asset ledger for acquisitions, disposals, and monthly amortization.
- Maintain accuracy of inventory ledger and ensure rigorous inventory control procedures are developed and met.
- Review government remittances for accuracy of content and to ensure all payments are timely.
- Prepare year-end working paper file and coordinate annual review with external accountants.
3) Reporting/Analytics:
- Prepare weekly management reports and analysis for all companies.
- Prepare monthly management reports and analysis for all companies.
- Implement approved report changes for all departments to ensure uniformity.
- Prepare and distribute Executive dashboard reports monthly.
4) Statutory:
- Ensure all statutory filing requirements are monitored and completed as per the respective jurisdiction timelines.
- Ensure bank filing requirements are monitored and completed as per the respective banking agreements.
- Ensure all corporate insurance requirements are monitored and submitted or renewed within the required timelines.
5) Staffing:
- Supervision of Financial Accountants, Inventory Control Manager, and Accounts Payable team.
- Complete annual performance evaluations for direct reports.
- Conduct regular staff meetings to ensure communication is maintained and project timelines are met.
- Facilitate training and support a continuous improvement culture.
- Make recommendations to the CFO regarding the staffing requirements of the department.
- Administer the hiring, retention, progressive discipline, and/or termination process.
- Delegation of tasks as required, ensuring appropriate staff utilizations and deadlines are met.
6) General:
- Participate in the development of new policies and procedures required for supervised areas.
- Attend regularly scheduled and ad hoc inter-departmental meetings bringing forward ideas for improving departmental cooperation.
- Review and approve ERP security permissions.
- Support the CFO in the Treasury Management function.
- Special projects as assigned to ensure corporate/departmental objectives are achieved.
- Provide information and assistance to CFO and other Executives as required.
Requirements:
- Completion of Professional Accounting Designation (CPA, CA, CMA, CGA).
- 5+ years of practical accounting experience.
- 5+ years of experience in a managerial role.
- Advanced MS Excel capabilities.
- Advanced understanding of ERP systems. Sage X3 experience is an asset.
