Full job description

Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth daily functions and excellent customer service. This role requires strong computer skills, proficiency in Jane software, Microsoft office, Google Drive, and the ability to manage multiple tasks efficiently. At least one year experience in health offices is required. The successful candidate will demonstrate excellent communication skills, organizational abilities, and a professional demeanour.

Duties

Manage front desk operations, including greeting visitors and answering phone line with professionalism and courtesy
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle client billing system Jane software
Document creating, electronic file folder creating and ensuring proper organization of all electronic paperwork
Provide client support via phone and in person, addressing inquiries and scheduling appointments
Assist with bookkeeping tasks such as filing invoicing in QBO
Support office functions including appointment scheduling, patient check-in/out, and maintaining patient records
Maintain office supplies inventory and order supplies as needed
Perform light cleaning duties around the office such as emptying garbage bins, wiping down surfaces, and loading/emptying dishwasher.
Perform general clerical duties including typing correspondence, managing calendars, and supporting team members with administrative tasks

Experience

Previous office experience required, including a minimum of 1 year in health related office environment
Familiarity with QuickBooks, Microsoft Office (Word, Excel), Google Workspace (Gmail, Google Drive, Google Calendar), and Jane software required
Experience with front desk responsibilities, phone systems, filing, proofreading, and customer service is required
Clerical or administrative experience demonstrating strong organizational skills and attention to detail is essential
Excellent phone etiquette and communication skills necessary for providing exceptional customer support
Prior experience in bookkeeping or payroll is a plus but not mandatory
