We are currently looking for a reliable, organized, and detail-oriented Administrative Assistant & Junior Accountant to join our team. This hands-on position combines accounting, administration, and RMA/warranty coordination.
The ideal candidate will be comfortable working with numbers, communicating with customers and suppliers, maintaining accurate records, and following transactions and warranty claims through to completion.
Key Responsibilities
Accounting & Bookkeeping
- Assist with day-to-day bookkeeping and accounting activities
- Process accounts payable and accounts receivable transactions
- Enter and verify supplier invoices, expenses, payments, and other financial transactions
- Prepare customer invoices and assist with payment follow-ups and collections
- Reconcile bank accounts, credit cards, supplier statements, and other accounts
- Maintain accurate and organized accounting records
- Assist with GST reporting and preparation of supporting documentation
- Assist with month-end and year-end accounting procedures
- Prepare reports and supporting documentation for management and external accountants
- Investigate and follow up on discrepancies involving invoices, payments, credits, and account balances
- Maintain proper filing of invoices, receipts, purchase documents, credits, and other financial records
RMA & Warranty Administration
- Coordinate and process Return Merchandise Authorizations (RMAs) for customer and supplier returns
- Receive, document, and track warranty claims from initial submission through final resolution
- Verify warranty eligibility, purchase information, part numbers, serial numbers, dates, and supporting documentation
- Communicate with customers regarding return and warranty requirements, documentation, and claim status
- Communicate with manufacturers and suppliers to obtain RMA approvals and warranty authorizations
- Prepare and submit warranty claims according to supplier and manufacturer requirements
- Maintain accurate records of open and completed RMAs, warranty claims, returned products, replacements, and credits
- Track returned parts and ensure products are properly identified and routed for return, inspection, replacement, or disposal
- Follow up with suppliers and manufacturers on outstanding warranty claims, credits, and replacement products
- Coordinate warranty credits and supplier credits with the accounting records
- Ensure customer credits, replacements, and other approved warranty resolutions are processed accurately
- Maintain organized supporting documentation, including invoices, photos, inspection information, correspondence, and claim approvals
- Monitor outstanding RMA and warranty files and proactively follow up to ensure timely closure
- Assist management in identifying recurring warranty issues, supplier concerns, and unresolved claims
Administration & Office Support
- Provide general administrative support to management and other departments
- Answer and direct phone calls, emails, and general inquiries
- Maintain organized electronic and physical filing systems
- Prepare correspondence, spreadsheets, reports, and other business documents
- Assist with customer and vendor account setup and documentation
- Maintain and update company records and databases
- Coordinate office supplies and other administrative requirements
- Communicate professionally with customers, vendors, manufacturers, employees, and external service providers
- Assist management with additional administrative, accounting, RMA, and warranty duties as required
Qualifications
Candidates must meet the following requirements:
- Minimum 1-2 years of relevant experience in accounting, bookkeeping, finance, office administration, warranty/RMA administration, or a similar role.
Skills & Experience
- Basic understanding of accounting principles and bookkeeping
- Experience with accounts payable and accounts receivable
- Strong computer skills, particularly Microsoft Excel, Word, and Google Mail
- Experience with accounting software such as QuickBooks, Sage, or similar software is an asset
- Previous experience handling RMAs, warranty claims, returns, supplier credits, or parts administration is an asset
- Strong numerical and data-entry skills
- Excellent attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to manage multiple open items and follow them through to completion
- Ability to prioritize responsibilities and meet deadlines
- Professional written and verbal communication skills
- Ability to communicate effectively with customers, suppliers, and manufacturers
- Ability to handle confidential financial and business information responsibly
- Ability to work independently while contributing as part of a team
- Previous experience in the automotive, heavy-duty truck, parts, distribution, retail, or transportation industry is considered an asset
