Finance and Administrative Coordinator - Part Time 0.70 FTE
POSITION SUMMARY:
The Finance Administrative Coordinator provides administrative support to the Finance, Fund Development, and Human Resources functions of Foothills Country Hospice Society (FCHS), while also providing administrative assistance to the Leadership Team as required. Reporting to the Financial Reporting Manager, this role supports the day-to-day coordination of financial administration, donor stewardship activities, human resources processes, and organizational administration to ensure efficient and effective operations across the hospice.
The Finance Administrative Coordinator is responsible for maintaining accurate financial and donor records, supporting accounts payable and charitable receipting processes, assisting with human resources administration, and coordinating administrative projects and committee support. The successful candidate demonstrates exceptional organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities while maintaining the highest level of confidentiality and professionalism.
This position plays an integral role in supporting the organization's financial integrity, operational efficiency, and commitment to delivering compassionate hospice care.
POSITION RESPONSIBILITES INCLUDE:
Finance Administration Support
- Assists with accounts payable, including processing bills and disbursements.
- Records incoming payments and bank deposits.
- Responsible for creating tax receipts under the direction of the Financial Reporting Manager in a timely manner and in accordance with Canada Revenue Agency, Charities Directorate Division.
- Completes filing and other financial administrative duties as assigned.
Fund Development Administration Support
- Creates profiles for new donors and maintains the existing donor data bank.
- Administers the tax receipts process.
- Administrative support for grant management.
- Produces memorial letters to be sent out to family members when donations have been made in honor of their loved ones.
- Assists the Fund Development team with reporting, donor correspondence, mailings, and event preparation as needed.
Human Resources Administration Support
- Provides administrative support to Human Resources as needed (e.g., maintaining personnel files, assisting with onboarding documentation, scheduling interviews, or tracking staff training).
Administrative & Committee Support
- Provides ad-hoc administrative and project support to the Team Leads as requested.
- Takes minutes at Team Lead meetings.
MINIMUM REQUIREMENTS:
- Minimum 2 years of financial and administrative experience, including knowledge of Microsoft Office Suite and Quickbooks.
- Knowledge of and commitment to the philosophy of hospice palliative care.
- Represents Foothills Country Hospice Society in a professional, respectful, and appropriate manner at all times.
- Knowledge of and commitment to the philosophy of hospice care.
- Experience with Donor Perfect or other donor management software is an asset.
- Ability to manage multiple tasks and prioritize effectively.
- Ability to work both independently and in a team environment with minimal supervision.
- Must be punctual and reliable.
- Strong verbal and written communication skills.
- Well-developed time management and organizational skills.
- Demonstrates critical thinking skills within the scope of the role, including good judgment and problem-solving skills.
- Maintains complete confidentiality at all times, including sensitive financial, donor, and HR information.
- Must represent the Foothills Country Hospice Society in an appropriate professional manner at all times.

Status: Permanent Part-Time (0.70 FTE)
Hours of Work: Monday to Thursday, 8:30am to 4:30pm (28 hours per week)
