Job Overview

We are seeking a highly organized and detail-oriented Team - Administration Assistant to support our office operations. This role is essential in maintaining efficient administrative workflows, providing excellent customer service, and ensuring smooth communication across departments. The ideal candidate will possess strong computer skills, experience with office management tools, and a professional demeanor suitable for front desk and clerical responsibilities. This position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.

Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office.
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
Assist with scheduling appointments, meetings, and calendar management for team members
Support bookkeeping activities such as invoicing, billing, and basic financial record keeping
Provide customer support via phone and email, addressing inquiries efficiently and courteously
Proofread documents for accuracy and clarity before distribution
Handle administrative tasks such as copying, scanning, faxing, and document preparation
Contribute to team projects by coordinating tasks and ensuring deadlines are met

Qualifications

Proven clerical or administrative experience in an office setting
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Strong computer skills including data entry, typing, proofreading, and file management
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional customer service skills with professional phone etiquette and communication abilities
Ability to handle front desk responsibilities confidently while maintaining a welcoming atmosphere
Familiarity with multi-line phone systems and general office equipment
Attention to detail and accuracy in all tasks performed
High school diploma or equivalent required; additional certifications in office administration or related fields are advantageous

Pay: $20.00-$22.00 per hour
