Full job description

Job Title: Executive Administrative Assistant and Payroll

Location: 294 Main St, Fredericton, NB

Reports To: Finance Manager

Job Type: Full-time, 37.5 hours per week

Remuneration: $26.00/hour; 2 weeks paid vacation

POSITION SUMMARY

The Executive Administrative Assistant provides high-level administrative and operational support to senior leadership while playing a central role in payroll, employee administration, regulatory reporting, and office operations. This position requires exceptional discretion, strong organizational skills, and hands-on experience with onboarding and offboarding, payroll compliance, CRA and WorkSafe reporting, group benefits administration, and operational coordination.

KEY RESPONSIBILITIES

Executive & Administrative Support

- Provide comprehensive administrative support

- Prepare correspondence, reports, presentations, and briefing materials as directed

- Maintain confidential records and sensitive information

- Organize and manage multiple deadlines

- Support meetings as required

Payroll, CRA & Regulatory Reporting

- Payroll administration in compliance with Canadian legislation

- Prepare and maintain payroll and personnel records

- Complete and submit Records of Employment (ROEs)

- Coordinate CRA payroll reporting, remittances, T4s, and year-end payroll

- Assist with audits and respond to CRA inquiries

- Tracking salaried employees' attendance

- Respond to employee payroll documentation requests WorkSafe & Workplace Compliance

- Coordinate WorkSafe registrations, reporting, and remittances

- Prepare incident reports and claims documentation

- Maintain accurate WorkSafe records

Onboarding & Offboarding

- Coordinate onboarding documentation, and setup

- Ensure payroll, CRA, WorkSafe, benefits

- Manage offboarding, including final pay, IT access removal confirmation, badges, and Roes

Group Benefits Administration

- Administer employee group benefits

- Liaise with providers and brokers

- Respond to employee benefit inquiries

Office Operations & Assets

- Coordinate staff identification badges

- Administer petty cash and maintain records

- Coordinate office and operational supply orders

Reporting & Compliance

- Complete and submit Statistics Canada surveys

Other Responsibilities

- Any other related tasks as requested by management

- Receive, sort and distribute daily mail

QUALIFICATIONS

- Minimum 2 years of senior administrative experience

- Payroll, CRA, and WorkSafe reporting experience

- Strong organizational and confidentiality skills

- Proficiency with Microsoft Office, Sage accounting software and HR/payroll systems

Pay: $26.00 per hour

Expected hours: 37.5 per week

Work Location: In person
