Bytown Catering requires a bilingual Venue and Event Manager who will be responsible for helping clients plan their catered events including weddings and galas, corporate events, major special events, daily meal services , and more. As Venue and Event Manager, you will work collaboratively with clients to create their menus, plan out their meal service, coordinate with venues and other vendors on floor plans and rentals, issue invoices and take payments, and ensure that all details have been looked at and outlined to help ensure an outstanding service for our clients.

Responsibilities and Job Duties:
- Deliver exceptional bilingual client service via phone, email, web inquiries and in-person interactions; meet clients for site visits; and respond promptly and professionally throughout the sales cycle.
- Intake, qualify, and track catering leads from multiple channels (Sales inbox, online orders, phone calls, social media), capturing all required event details and following-up in a timely fashion to close leads.
- Create and manage quotes in Caterease, including menu design, pricing, service requirements, guest counts, timing, delivery/location details, and special requirements; coordinate internal review/approval and revisions as needed.
- Close business and confirm bookings by issuing quotes/contracts as applicable, securing client approval and deposits (where applicable), and ensuring confirmations are documented in writing.
- Lead the planning phase once booked: confirm final timelines, floor plans, guest counts, dietary restrictions, service logistics, and required rentals/upgrades (linens, glassware, bar, etc.), and re-issue updated quotes within required timelines.
- Coordinate externally and internally by liaising with venues/vendors and collaborating with the Operations and Culinary teams to ensure feasibility, capacity planning, and a clean handoff for execution; attend venue meetings/site visits as required.
- Handle event administration and follow-through including invoicing, payment processing per schedule, post-event feedback capture, and accurate recordkeeping in Caterease and Zoho CRM.
- Some events will require you to be on-site for the event to ensure smooth execution.
- You will oversee the sales and event coordination for two main venues in Ottawa. Our ideal candidate has access to a vehicle so they may move between venues with ease. Both venues are located downtown.
Candidate should have a driver's license and may be required to obtain a Government of Canada security clearance. At all levels, attention to detail is essential, along with excellent customer service, organizational, time management and communications skills. The ideal candidate meets the following qualifications
- Bilingual in English and French (required)
- A positive, professional, and customer-focused demeanor
- An ability to work collaboratively with clients, venues, vendors and the catering operations department to plan catering orders and events to run flawlessly
- Computer proficiency in Microsoft Word and Excel, and an ability to learn and efficiently use new programs (e.g. Caterease, Customer Relationship Management systems)
- Asset Qualifications considered in the hiring process include previous experience in event coordination, experience as a catering supervisor or banquet lead, experience in the hospitality or the food services industry, sales or customer support experience in a similar environment, relevant education, or other skills/experience that you feel would help you succeed in the role.
- Candidate should have a driver’s license and may be required to obtain a Government of Canada security clearance.
