Part Time Receptionist & HR Co-ordinator

Job Description:

WP INNOVA is a successful and growing Canadian manufacturing company seeking an experienced Part-Time Receptionist / HR Coordinator to join our team. Reporting directly to the HR Manager, the successful candidate will be responsible for providing a broad range of human resources support while also managing front desk and reception & show room duties

This role serves as the first point of contact for visitors, employees, and external contacts, while assisting with day-to-day HR administration for our workforce. The ideal candidate is highly organized, professional, detail-oriented, and able to manage multiple priorities.

Key Responsibilities:

Reception Duties

· Greet and assist visitors, customers, and suppliers in a professional and friendly manner.

· Manage incoming and outgoing mail, courier deliveries, and office correspondence.

· Maintain reception and common areas in a professional manner.

Human Resource Duties

· Assist with recruitment and hiring activities, including posting positions on job boards, screening resumes, coordinating interviews, conducting reference and background checks, and preparing offer documentation.

· Coordinate and manage the new hire onboarding process, including adding and removing employees from internal and external systems.

· Communicate payroll-related changes to the external payroll processing provider and maintain accurate employee records.

· Track employee attendance, vacations, and other time-off requests

· Maintain records and coordinate temporary staffing requirements, including regular communication with external staffing agencies.

· Assist employee engagement initiatives and company-wide programs.

· Assist with coordinating employee events, training sessions, meetings, and conferences, including arranging catering and logistics.

· Coordinate employee recognition programs

· Provide general HR administrative support while ensuring confidentiality and accuracy of employee information.

Required Skills & Qualification

· Minimum 2-3 years of experience in an office administration, receptionist, human resources, or related administrative role.

· Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities

· Demonstrated ability to handle confidential and sensitive information with a high level of professionalism and discretion.

· Excellent interpersonal and customer service skills with a friendly, approachable, and professional demeanor.

· Strong verbal and written communication skills with the ability to communicate effectively with employees, management, customers, and external agencies.

· Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and Teams, with strong computer and data entry skills.

· Detail-oriented with a high degree of accuracy and follow-through.

· Ability to work independently

· Some Human Resources education or designation (or working towards one) is considered an asset.
