Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Your energetic approach and attention to detail will support our team’s productivity and create a welcoming environment for clients and visitors alike. This position offers an exciting opportunity to showcase your multitasking skills, technical proficiency, and customer service expertise in an office setting. Whether managing schedules, handling correspondence, or maintaining records, your proactive attitude will help drive our success forward.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer support with professional phone etiquette.
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace tools, and QuickBooks for bookkeeping and financial recordkeeping.
Organize and maintain filing systems—both physical and digital—to ensure quick retrieval of documents and compliance with company policies.
Assist with clerical duties such as proofreading correspondence, preparing reports, and managing calendars to support team members’ schedules
Coordinate office supplies procurement, monitor inventory levels, and ensure the workspace remains organized and efficient.
Provide administrative support for special projects, including document preparation, data collection, and basic bookkeeping tasks.

Experience

Clerical or administrative experience in an office environment with a strong emphasis on organizational skills.
Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication.
Experience using QuickBooks or similar accounting software for bookkeeping purposes. Training is available.
Customer service experience demonstrating excellent communication skills and professionalism in person and over the phone.
Data entry procedures with high accuracy rates.
Computer skills with the ability to adapt to new software applications quickly; familiarity with multi-line phone systems is preferred.
