About the Role

The Intake Coordinator plays a key role in supporting the delivery of Independent Medical Evaluations and related services across Canada.

Intake Coordinators manage a high volume of active files while coordinating appointments, maintaining service level agreements, and delivering exceptional customer service to clients, assessors, and examinees.

The successful candidate will work in a fast-paced environment requiring strong attention to detail, excellent communication skills, sound judgment, and the ability to manage competing priorities while meeting established service standards.

Key Responsibilities

Book, confirm, cancel, and make all appointment arrangements for Independent Medical Examinations in accordance with Service Level Agreements (SLAs).
Communicate with assessors, clients, and examinees regarding appointment scheduling, appointment changes, and receipt of medical records and/or images.
Create and process confirmation letters for scheduled appointments.
Respond promptly to incoming calls, emails, and faxes from assessors, clients, and examinees.
Communicate clearly and professionally with clients, assessors, and examinees.
Review incoming referrals for completeness and accuracy.
Coordinate ancillary services such as interpreters, transportation, and chaperones.
Maintain accurate records within company operating systems.
Escalate scheduling or service issues as appropriate.
Ensure Service Level Agreements are consistently achieved.
Perform other duties and responsibilities as assigned.

Required Qualifications

High school diploma or post-secondary education.
Minimum two (2) years of experience in scheduling, customer service, healthcare administration, insurance, rehabilitation, or a related administrative environment.
Strong verbal and written communication skills.
Strong organizational and time management skills.
Proficiency with Microsoft Office applications.
Strong attention to detail and accuracy.

Preferred Qualifications

Experience within the Independent Medical Evaluation (IME) industry.
Experience with SABS, disability management, personal injury, or insurance claims.
Experience using ExpeFlow, SmartSimple, or similar IME workflow systems.
Experience working within Service Level Agreement (SLA)-driven environments.
