Purpose of position
Evaluate appropriate suppliers bringing value to the organization through the competitive bidding process and negotiations with selected suppliers to finalize contracts working with relevant stakeholders. Obtain tax, legal and insurance review; secure all required approvals and manage supplier compliance against contract commitments. Update required information in the contracts system.
Key responsibilities

Meet with customer departments to understand their needs and identify customer specification requirements.

Source appropriate suppliers by conducting internal research or issuing Requests for Information (RFIs).

Issue Requests for Proposals (RFPs) and other communications as part of the competitive bidding process.

Evaluate proposals using a standard evaluation matrix and select service providers.

Meet with customer departments to agree on and formulate a negotiation strategy.

Organize meetings with suppliers and invite representatives from relevant departments and other resources as needed.

Ensure customer department completes the commitment authorization to justify expenses incurred under the contract.

Consult legal services to ensure the company is properly protected and that contractual obligations are enforceable.

Obtain required Tax and Insurance approvals.

Prepare an executive summary and obtain the required approval from senior management for contract execution.

Ensure negotiated terms are properly managed by the user department.

Identify cost-saving opportunities and cost reduction initiatives beneficial to the company and provide updates to senior management.

Calculate and document cost improvements and other benefits related to the competitive bid process and contract activities.

Identify cost reductions, cost avoidance, and other savings opportunities in accordance with contract compliance.

Participate in updating procurement policy and tools in collaboration with customer departments.

Utilize Ariba Contracts and Sourcing modules to initiate competitive bidding events, document standard contract data, and update contract terms to ensure other Ariba modules function properly and align with negotiated and internally agreed payment processes.

Organize documents in a central repository, monitor key supplier contractual obligations by verifying invoices, and ensure appropriate workflows and approvals are in place in Ariba.

Present weekly activity reports covering the tendering process and contract activities and provide updates to executives and senior management as needed.

Lead procurement projects, taking responsibility for all aspects including team formation and acting as project spokesperson.

Advise various departments on contract and RFP related matters.

Participate in meetings with the Contracts department and other departments that directly impact the contract process and execution.

Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.

Perform other related duties as assigned.
Required qualifications
-
Completion of an undergraduate degree or other relevant post-secondary education;
-
Proven experience in competitive bid processes, supplier sourcing and development, and/or contract negotiations and implementation;

Relevant experience or training in purchasing and/or procurement;

Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook);

Strong leadership skills;

Excellent interpersonal and communication skills;

Ability to communicate effectively in English (oral and written)
Preferred qualifications

Experience with SAP Ariba;

Supply Chain Management Professional Designation (such as Certified Supply Chain Professional (CSCP), Certified Professional in Supply Management (CPSM), or equivalent recognized certification).
