Overview
We are seeking a highly organized, detail-oriented, and technology-savvy Office Administrator & Bookkeeper to join our team. This role is central to the smooth operation of our office and provides a combination of administrative, client service, technology support, and bookkeeping assistance.
As a small firm, we value team members who are adaptable, proactive, and comfortable wearing multiple hats. While bookkeeping experience is important, the primary focus of this position is office administration, client support, workflow coordination, and maintaining our technology systems and processes.
Duties
- Serve as the first point of contact for clients in person, by phone, and via email.
- Assist with preparing, organizing, and tracking client files for year-end and tax engagements.
- Manage client records and maintain accurate client databases.
- Coordinate document collection, electronic signatures, and delivery using DocuSign and other systems.
- Communicate with Canada Revenue Agency (CRA) representatives and navigate CRA online services as required.
- Print, scan, file, archive, and maintain client and corporate records.
- Manage office supplies, equipment, and general office organization.
- Provide administrative support to partners and team members as needed.
- Bookkeeping - data entry, perform bank, accounts receivable, accounts payable, payroll, and other account reconciliations.
Required Skills & Experience
- Previous experience in office administration, bookkeeping, or accounting support.
- Strong proficiency with Microsoft Windows and Microsoft Office applications.
- Demonstrated aptitude for technology, including hardware and software troubleshooting.
- Experience with QuickBooks Online, Sage 50, CaseWare, or similar accounting software is an asset.
- Excellent organizational skills with strong attention to detail.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Comfortable working independently while collaborating with a team.
- Professional, client-focused, and service-oriented approach.

Pay: $40,000.00-$50,000.00 per year
