Aspire Dental Management is a network of people-focused dental practices across Ontario. We are seeking an experienced, highly capable Dental Office Manager who brings meticulous attention to detail, strong business judgment, and a thoughtful, confident approach to people leadership.

This role is for someone who takes pride in running an outstanding practice: patients feel welcomed and cared for, dentists feel supported, employees feel valued and understand expectations, and daily operations are organized and productive.

Reporting to the Regional Manager, you will take ownership of clinic performance, scheduling, staffing, and the patient experience. You will combine warmth and professionalism with the ability to make sound decisions, address concerns directly, and follow through consistently.

What You Bring

Demonstrated success managing a dental practice, with strong knowledge of scheduling, staffing, treatment coordination, billing, and collections.
A track record of improving practice performance while maintaining positive patient and team relationships.
Strong employee relations and performance management skills, including confidence handling sensitive conversations and documenting them appropriately.
Exceptional organization, attention to detail, and follow-through. You anticipate needs, track commitments, and bring matters to completion.
Financial and operational confidence, including the ability to interpret reports, manage labour costs, and turn performance data into practical action.
A calm, approachable leadership style paired with clear expectations and sound professional boundaries.
Excellent written and verbal communication, discretion, and judgment about when to act independently and when to seek guidance.
Proficiency with dental practice-management software; Tracker experience is preferred.
Experience partnering with union leadership and staff is preferred.

What You’ll Lead

Practice performance and operational excellence

Take ownership of daily operations, delivering on production, collection, and labour targets while maintaining excellent patient service and appropriate staffing.
Proactively manage provider schedules, chair utilization, patient flow, cancellations, and short-notice openings to maintain a full, efficient, and productive schedule.
Oversee hygiene recalls, treatment follow-up, and case acceptance support, helping patients move forward with provider-recommended care.
Monitor billing, collections, accounts receivable, and key performance indicators; identify gaps and implement improvements.
Maintain accurate timekeeping, staffing plans, and vacation coverage aligned with clinic needs.
Lead purposeful daily huddles and regular team meetings, ensuring priorities, responsibilities, and follow-up actions are clear.

People leadership and employee relations

Build an engaged, collaborative team through clear expectations, practical coaching, recognition, and consistent accountability.
Oversee recruitment, onboarding, training, and ongoing employee development in partnership with regional leadership and HR.
Address employee concerns and interpersonal conflict promptly, fairly, and professionally.
Manage performance proactively through regular feedback, documented coaching, and formal reviews, partnering with HR and regional leadership on corrective action.
Support respectful, constructive partnerships with union leadership and staff.
Maintain timely, accurate, and objective documentation of employee discussions, performance matters, decisions, and follow-up commitments.

Patient experience and professional relationships

Set the standard for a warm, attentive, and highly professional patient experience.
Build trusted relationships with patients, dentists, and team members through responsive communication and reliable follow-through.
Resolve patient concerns with empathy, discretion, and sound judgment.
Oversee front desk standards, including appointment confirmations, chart preparation, patient and insurance information, treatment estimates, and payment arrangements.

Quality, compliance, and follow-through

Ensure clinic policies, privacy requirements, health and safety standards, and infection prevention procedures are consistently followed in collaboration with clinical leads.
Maintain organized records, operational logs, checklists, inventory controls, and equipment maintenance coordination.
Ensure required training and assigned tasks are completed, documented, and followed up on.
Keep regional leadership informed of performance, emerging concerns, and matters requiring additional support or approval.
